We are seeking an Expense Operations Lead to support the Travel&Expense Management team within the Corporate Services Department, based in Budapest.
Corporate Services provides world class commercial services for the Firm which enable productivity, efficiency, and an enhanced employee experience. We deliver standardized services which can be scaled globally and delivered locally. We have over 5,000 staff managing a multi-billion-dollar scope of services including Real Estate and Location Strategy; Real Estate Portfolio and Transaction Management; Property Management; Corporate Travel; Corporate Security & Investigations; Corporate Information Management; Regional Client Services; and Office of the COO.
In this role as Expense Operations Lead, you will be responsible for managing the expense process (reviews and approvals) for a business division. This role is crucial in ensuring that all expense reports are processed in compliance with company and regulatory policies, together with the other Business Division Expense Operations. The candidate will be based in Montreal, Canada or Budapest, Hungary, and report to the Global Expense Management Lead based in New York, United States

What you'll do in the role:

Promote Corporate Services, generate effective communications, good relations and a positive image with suppliers and co-workers promoting courtesy, diversity, and fairness

Maintain up to date commercial and contractual knowledge of the marketplace and methods adopted by peer groups / other industries to ensure that best practices are continually developed, shared, and utilized

Enhance the credibility of the function by working closely with all internal stakeholders and demonstrating the highest standards of professionalism, integrity, service, and commercial expertise

Strong acumen and understanding of risk and business continuity for travel and business support services
-
Identify key trends and areas of concern through expense report analytics, providing meaningful insights to the management team

Lead training sessions to educate employees on expense reimbursement processes, tool usage and firm’s policy standards

Manage a team and oversee the daily operation of the expense reimbursement processes for a business division (~50k expense reports/ year), ensuring team SLAs and standard operating procedures are met

Provide Concur and policy guidance with adherence to the firm’s compliance standards and best practices

Identify errors and policy violations to ensure operational health of the expense reimbursement operations through routing, reviewing, and auditing of the expense reports

Collaborate with the Global Expense Management Lead on long term strategy plans and continuously evolve and provide value to employees regarding the expense experience
What you'll bring to the role:
-
5-7 years of experience in Expense Reimbursement required, previously held a managerial position in a large financial institution(s) preferred

Knowledgeable of industry standards, firm policy guidelines for financial institutions like Morgan Stanley. Experience in managing business relationships (internal and external) at a senior management level preferred

Familiar with the employee expense reimbursement process, including expense platforms such as Concur. Experience with AI integrated expense tools will be a bonus

Excellent leadership, interpersonal and customer service skills

Problem-solver, effective communicator, strong team-player and advocate for innovation and value-driven-change

Strong software skills in use of Microsoft products (i.e., Excel, PowerPoint)

Ability to collaborate with remote teams across the globe
