Job Coordinator II - Receiving Coordinator
Division: PPD

What You Will Do:
The position will perform tasks and functions to support the Distribution operation. Key functions include international order communication/consolidation with Freight Forwarders, Steam Ship Lines and Customer Service. Work Closely with Order Processing to achieve dates scheduled for pickup. Position will also back-up Domestic Shipping team during call offs or vacations.
Create and distribute reporting to the operations teams for greater visibility to information to make decisions. Communicate daily international requirements to staff
Leads and assists special projects as needed by business and provides local assistance to both external and internal auditors.
Communicates with Carriers, Drivers, Freight Forwarders, Steamship lines and L'Oreal International MSL team on any changes in the transportation of goods.
Represent PPD transportation in a professional, cooperative, and engaged manner. Occasionally Fill in on Domestic coordinator functions as needed.
Responsible for scheduling outbound appointments for container loading or air freight carriers.
Validates and signs all Hazmat documents. Reviews Hazardous Packing requirements are correct for Hazmat Air shipments.
Planning and implementation of efficient loading and documentation of outbound international shipments.
Ensures all proper documentation for international shipments are completed accurately as it relates to shipment
- Sign out drivers with drop loads
- Update board with load information by dock door
- Fill out teams meeting report for daily 9am
- Fill out daily appointment log using TMS / fill out spreadsheet in RCV folder
- File signed BOLS
- Communicate with outside security and unloader when live load driver / LTL drivers arrive
- Communicate with Team lead on what needs to be received in
- Communicate with planners who email with HOT shipments delivering / communicate with carriers with delivery appointments for these loads
- Close ASNs if ASN is not complete investigate why and work with lead on completing
- Set up BUYBACK requests with carrier and create BOL in TMS
- Create and submit tickets with fusion for unreceivable freight
- Work with PIM Team with YLC01 issues
- Coordinates yard driver and requests shuttle driver when needed
- Coordinates delivery of wood pallets and pick up of Euro pallets
- Coordinates delivery of international container loads / and the pickup of empties
- Works with Quality to record non-conforming loads
- Coordinate outbound Accel shipments
- Maintain a spreadsheet with inbound and outbound Accel loads
- Schedule Sephora orders and print out packing lists
What We Are Looking For:
Required Qualifications:
· High School Diploma or equivalent preferred
· 2-4 years’ experience in a warehouse environment preferred
· Strong oral and written communications skills
· Strong organizational skills
· Intermediate knowledge of Microsoft Office. Word and Excel experience required
· Experience with internal auditing preferred
· Manhattan and SAP experience preferred
. Strong understanding of Hazardous Materials knowledge when shipping Ocean, Air or
Ground. DOT, IATA and IMDG Regulations.
