As a Payroll Administrator Associate in Poland Payroll Team, you will ensure accurate, compliant, and on‑time payroll each cycle by owning input validation, calculation, and output verification for employees in Poland. You will partner with HR, Finance, and external vendors to resolve data issues, complete post‑payroll reporting, and fulfill statutory submissions to authorities—directly impacting employee experience and business continuity. You will also drive process improvements and strengthen controls to reduce risk and improve efficiency.
Job responsibilities
- Calculates payroll and delivers post‑payroll reports to internal and external recipients (Finance, Accounting, Audit, third parties, statutory authorities).
- Verifies the accuracy of social security contribution and tax calculations.
- Fulfills reporting and settlement obligations to external institutions (ZUS, Tax Office, PFRON, GUS): prepares and submits required declarations and reports, monitors deadlines and statuses, and resolves any discrepancies.
- Ensures the correctness of input data (collection, validation) and output data (control, verification).
- Works closely with HR and non‑HR teams across the firm to ensure local and regional requirements are met.
- Responds to queries from employees, managers, internal stakeholders, and clients in a timely and professional manner.
- Identifies risks and ensures appropriate controls and regulatory checks are in place.
- Liaises with external stakeholders (vendors, public authorities).
- Reviews processes to keep them up to date, with proper documentation and controls.
- Participates in payroll process improvements and projects across the EMEA region.
- Ensures compliance with all internal and external regulations and requirements.
Required qualifications, capabilities, and skills
- At least 2 years of in-house experience in Poland payroll calculation and operations.
- Knowledge of Polish payroll regulations and the SAP payroll system.
- Fluency in Polish.
- Fluent business English.
- Strong customer service mindset and ability to partner with stakeholders.
- High attention to detail and a proactive, can‑do attitude.
- Ability to manage multiple tasks and meet deadlines within a fixed payroll calendar.
- Strong interpersonal and communication skills.
- Strong analytical and problem‑solving skills.
- Advanced Excel skills and solid command of Microsoft Office.
Preferred qualifications, capabilities , and skills
- Experience with end‑to‑end Poland payroll, including statutory reporting (ZUS, Tax Office, PFRON, GUS).
- Experience working with the SAP payroll system.
- Experience in payroll audits and controls.
