We are seeking a highly capable Executive Assistant to support the General Manager for Greece and the Greek Leadership Team based in Athens. This role requires a self-sufficient, proactive professional with a strong ability to anticipate needs, deliver operational excellence, and contribute positively to our culture.

As a trusted partner to the leadership team, you will not only manage core executive support activities but also play an active role in providing local market insights to our international leadership community. You will help connect global strategies with local realities, ensuring our Greek entity operates smoothly, efficiently, and with a positive team spirit.

  • Key Responsibilities- Executive support: Effective diary management with an emphasis on anticipating needs and understanding priorities.

  • Travel & logistics: Coordination of travel, visas, and accommodation for the GM and leadership team.

  • Financial administration: Ensure all Purchase Orders, invoices, and expenses are processed accurately and on time via Concur, with robust filing and reference systems in place.

  • Meeting & event coordination: Plan and execute meetings, conferences, and events (internal and external) to ensure efficiency, relevance, and high-quality delivery.

  • Reporting & presentations: Prepare, collate, and coordinate relevant business reports, presentations, and data packs.

  • Operational problem-solving: Handle one-off and recurring tasks, proactively resolving issues and implementing solutions.

  • Project support: Manage and coordinate functional or cross-functional projects and administrative processes.

  • Technology utilisation: Embrace and maximise new tools and systems to improve efficiency.

  • Local insight contribution: Gather and share Greek market perspectives to inform and enrich international leadership discussions.

  • About You- Proven experience as an Executive Assistant or Team Assistant at a senior leadership level.

  • Comfortable working across multiple geographies and cultures.

  • Proficient in relevant business systems (e.g., Workday, Concur).

  • Highly organised, self-motivated, and able to anticipate needs while effectively prioritising workload.

  • Demonstrates integrity, discretion, and confidentiality at all times.

  • Skilled in balancing requests, prioritising core leadership support, and managing competing demands.

  • Able to work well under pressure, meet deadlines, and adapt quickly to change.

  • Willing to go above and beyond the day-to-day to ensure smooth business operations.

  • A positive, solutions-focused problem solver with excellent interpersonal skills.

  • Strong relationship builder, both within the administrative network and across business teams.

  • Maintains high standards of planning, quality, and accuracy under tight timescales.

  • Creative and proactive in identifying and implementing improvements.

  • Enthusiastic about contributing to a positive, collaborative workplace culture in Athens.
