Mail Room Lead:

Job Description Summary

The Mail Room Lead is responsible for overseeing daily shipping and receiving operations, including the receipt, inspection, and distribution of incoming shipments. This role ensures accurate inventory management, timely delivery of packages, and adherence to all standard operating procedures. In addition to hands-on responsibilities, the Lead provides guidance to team members, supports workflow coordination, and acts as a point of contact for escalations. Proficiency with systems such as CMMS, Fed Ex, UPS, Microsoft Outlook, and mobile devices (i Phones) is required to effectively manage operations and communication. This position plays a key role in maintaining operational efficiency and delivering a high level of customer service.

Job Description Key Responsibilities:

• Oversee and coordinate daily shipping and receiving operations to ensure efficiency and accuracy
• Receive, inspect, and document incoming and outgoing shipments
• Package items using appropriate materials and containers (e.g., wooden crates, cardboard boxes, or preassembled packaging)
• Unpack and examine deliveries; identify, report, and resolve discrepancies such as damages or shortages
• Serve as the primary point of contact for shipping/receiving inquiries and escalations
• Ensure adherence to customer-specific Standard Operating Procedures (SOPs), including regulated processes
• Train, mentor, and provide guidance to Shipping & Receiving team members
• Monitor workflow, prioritize tasks, and assign duties as needed to meet operational demands
• Safely lift and move items weighing up to 50 pounds; push loads up to 100 pounds using hand trucks or dollies
• Perform and coordinate daily deliveries and pickups across designated locations using a company vehicle
• Maintain accurate and organized records; ensure compliance with all shipping and receiving protocols
• Assist with conference room setups as needed
• Oversee inventory levels and ordering of supplies to ensure operational readiness
• Identify process improvement opportunities and support implementation of best practices
• Perform other duties as assigned

Qualifications:

• High School Diploma or GED required
• Minimum of 2–3 years of experience in shipping, receiving, logistics, or warehouse operations
• Prior experience in a lead or supervisory role preferred
• Valid driver’s license required; must be comfortable operating a company van (part-time driving responsibilities)
• Strong leadership, communication, and customer service skills
• Proven ability to prioritize tasks, manage workflows, and support team productivity
• Ability to work independently while providing direction to others
• Excellent organizational and record-keeping skills with strong attention to detail
• Comfortable with frequent lifting and physical activity
• Proficiency in Microsoft Office Suite and logistics/shipping systems preferred

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $25.39 - $29.87
