Job Summary:

Provides administrative and secretarial support with a strong focus on managing business appointments, calendars, and meeting coordination. Performs routine to moderately complex administrative duties requiring accuracy, judgment, initiative, discretion, and knowledge of office protocol. Supports managers and teams by ensuring effective scheduling and coordination of internal and external business engagements.

Major Responsibilities:

  • Manage calendars and business appointments, including scheduling, confirming, rescheduling, and prioritizing meetings

  • Coordinate internal and external meetings with clients, partners, and senior stakeholders

  • Resolve scheduling conflicts in alignment with business priorities and management direction

  • Coordinate meeting logistics, including conference rooms, virtual platforms, and visitor access

  • Screen calls, emails, and appointment requests; determine appropriate action or escalation

  • Prepare and distribute meeting confirmations, correspondence, and supporting materials

  • Coordinate business travel aligned with scheduled meetings and engagements

  • Maintain electronic and hard‑copy administrative and scheduling records, including confidential information

  • Compile and distribute meeting notes, minutes, and action items as required

  • Apply company policies, procedures, and approved administrative systems to complete assignments

Education and Experience Requirements:

  • Requires 2-4 years of related experience

  • Bachelor’s degree preferred (Business Administration, Office Administration, Management, Tourism, International Diplomat Business or related field)

  • Experience supporting managers or senior staff in a professional office environment

Required Knowledge and Skills:

  • Experience in office administration, secretarial support, or administrative assistance

  • Proven experience in calendar management and business appointment coordination

  • Proficiency in Microsoft Outlook and Microsoft Office applications

  • Strong organizational, coordination, and time‑management skills

  • Ability to handle confidential and time‑sensitive information with discretion
