Key Responsibilities:
- Assist Project Director in managing all operational matters relating to the Sales Gallery
- Manage all aspects of the administrative operation in such a manner that it ensures set targets are achieved.
- Manage and maintain business / partnership relationships including client and supplier relationships
- Manage recruitment process for all sales staff including employment contracts, payroll setup and Merlin setup
- Manage and liaise with Legal team on all Agreements / contracts pertaining to employment, leasing, supply chain, operational agreements.
- Act in an advisory position to managers and representatives to ensure compliance of Company policy and procedures
- Participate as active member of the senior management team of the Sales Gallery
- Understands all documentation requirements and efficiently and accurately submits to Accor Vacation Club Sales on-boarding all contract activity.
- Prepare and complete all Accor Vacation Club Sales & Purchase Contract documents for Club Member acquisitions.
- Review all documents for accuracy and ensure contract originals are dispatched to Corporate Office in a timely manner
- Communicate with managers and Quality Assurance Representative to ensure all Accor Vacation Club Sale and Purchase Contract documents are legible, accurate and comply with Company policies and regulatory requirements
- Research and correct all revenue related queries. Review of payables and line items expenses in conjunction with accounting and provide information for accruals and prepaids as needed. Weekly payment of payables and other agreements including ability to produce supporting documentation as applicable.
- Maintain control of administrative support functions such in the sales Gallery. Including but not limited to reception duties, stock control and onsite resort services such as cleaning
- Ensure accurate and compliant completion of new employee induction, documentation and paperwork for sales, administration and field marketing.
- Assist sales administration and field marketing representatives with any Sale & Purchase Contract issues or errors in commissions
- Ensure all reports / documentation relative to the sales Gallery are completed correctly and forwarded to Corporate within required time frames
- Review commission payroll report for accuracy. Notify appropriate departments at the Corporate Office of any discrepancies.
- Review of the daily, weekly and monthly financial reports and make recommendation on improvement of efficiencies or APG
- Ensure all reports / documentation is completed correctly and forwarded to Corporate within required time frames
- Be responsible for all cash handling and direct deposit transactions for the sales site and ensure security of all finances and cash
- Manage and coordinate all stock / supplies relevant to the sales Gallery
- Manage administrative aspects of on site and off site field marketing
Minimum Requirements and Qualifications:
- Understand, train and enhance all sales and marketing processes and systems so as to ensure accurate data integrity/entry into sub-systems, and adherence to policies and procedure for all sales and marketing functions.
