Facility Coordinator
Wipro is looking for a proactive Facility Coordinator & General Administrator to keep our workplace running smoothly and our day-to-day operations well organized. Sitting at the intersection of facilities and office administration, you will be the go-to person for the upkeep of our sites, vendor relationships, and the administrative backbone that supports the whole team. Working closely with management and external partners, you'll help set up and maintain our facilities in line with corporate guidelines and project requirements. This is a hands-on, people-facing role ideal for someone who is organized, service-minded, and comfortable juggling competing priorities.
What You Will Do
Facility Coordination
- Serve as the first point of contact for all facilities matters, ensuring the office is safe, clean, well-stocked, and fully operational.
- Oversee the maintenance, repair, and operation of all facilities across our sites, including office spaces, equipment, and infrastructure.
- Manage relationships with building management and external vendors (cleaning, security, HVAC, catering, maintenance, IT hardware), including scheduling, quality checks, and issue resolution.
- Oversee purchasing of materials, parts, and office supplies — tracking inventory, placing orders, processing invoices, and planning and managing budgets for both operating and capital expenses.
- Maintain timely, per-project cost follow-up, reconciling received and expected invoices to keep project spend on track.
- Coordinate fit-outs, office moves, and minor works projects, liaising with contractors and minimizing disruption to the team.
- Provide logistical and operational support for smooth project execution, including space allocation, resource availability, and equipment setup.
- Maintain health, safety, security, and ergonomic standards — monitoring workplace conditions and overseeing access control, visitor management, and compliance with relevant regulations.
- Support space planning, desk assignments, and meeting-room readiness as the team grows.
General Administration
- Provide day-to-day administrative support to the team, including calendar coordination, travel and accommodation booking, and expense processing.
- Manage incoming and outgoing mail, couriers, deliveries, and front-desk reception, creating a welcoming experience for visitors and new hires.
- Maintain accurate records and filing systems (physical and digital), keeping documents, contracts, and policies organized and up-to-date.
- Support onboarding and offboarding logistics — workspace setup, access badges, equipment, and welcome materials.
- Help organize internal events, team meetings, and company gatherings, from logistics to catering.
- Raise purchase orders, track invoices, and liaise with finance to ensure timely payments to vendors.
- Assist with ad hoc projects and cross-functional administrative tasks as the business needs evolve.
What You Need to be Successful
- 3 – 5 years of experience in facilities coordination, office management, or general administration, ideally in a fast-paced or growing company.
- Strong organizational skills with the ability to manage multiple priorities and keep things running without close supervision.
- Confident communicator who can build good relationships with colleagues, vendors, and building management.
- Comfortable with office and productivity tools and quick to pick up new systems.
- Discretion and reliability when handling confidential information and sensitive logistics.
- Awareness of basic health, safety, and workplace compliance requirements (training can be provided).
Bonus Points if You Have
- Experience managing vendor contracts or facilities budgets.
- Familiarity with office moves, fit-outs, or space planning.
