This is a Part-Time role.
What You Will Do
You would be responsible for the day-to-day workings of the leaders you support. This role provides day-to-day administrative support for the President of Walt Disney World and their teams. This position requires multi-tasking, problem solving, prioritization skills, decision-making and proficiency in all levels of communication. As the “face” of your executive(s) within The Walt Disney Company, your professionalism, loyalty and attitude are a reflection of the office, and as such, are a critical component to its success.

Work hand in hand and form a strong partnership with other assistants

General calendar & schedule management

Email assistance and prioritization
-
Proactively managing and scheduling meetings and maintaining constant communication to provide real-time updates/changes to the schedule.

Ensuring executive is set up for success to attend/host meetings and maintain both balance and punctuality

Managing the planning, coordination and execution of business travel
-
Preparing expense reports and invoices to ensure timely payment processing

Booking conference rooms and having a high level of comfort when connecting in room technology
-
Proficient in scheduling and joining MTC meetings. If hosting or joining a group meeting, having the technology ready for you in advance to jump right into the meeting

Occasionally assist with executive level presentation creation, documentation of office procedures, research and provide overall office administration

Collaborate with other administrative professionals in the organization and provide backup assistance when needed
-
Able to interact with Cast Members at all levels as well as Operating Participants

Draft letters and emails on behalf of your leaders

Act as “casual buyer” of all office supplies for the department, and manage purchase orders and vendor contracts

Prepare regular reports and summaries
-
Assist in granting access to parking lots and various buildings across the property

Mentor and train other support professionals within our organization
Required Qualifications & Skills
-
Minimum 3 years related experience, including proven experience supporting an Executive leader
-
Demonstrated computer proficiency in Microsoft Word, Excel, PowerPoint, Outlook (calendar and email) and COUPA or similar systems with willingness and aptitude to learn new things

Demonstrated strong email, organization and time management skills and ability to work with confidential information
-
Demonstrated ability to prioritize multiple tasks, meet deadlines, make decisions and change course when necessary

Proven ability to build effective working relationships with all levels and influence all levels by being knowledgeable and credible

Demonstrated ability to work independently and within a team environment with strong follow-through skills and attention to detail

Demonstrated strong verbal and written communication skills

Desired experience in multiple operations lines of businesses

Ability to work effectively and efficiently in a fast-paced and demanding environment with the ability to be flexible with work schedule

Ability to multi-task and prioritize deadlines/deliverables

Strong proficiency with all types of computers, phones and office equipment

Desire to immerse yourself fully and learn all aspects of the business and proactively understand its effect on your work and your executive’s

The hiring range for this position in Lake Buena Vista, FL is $45,095 to $60,392.50 per year based on a 29 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
