Your mission

This role combines traditional real estate operations with a forward-looking mandate to automate and digitize our real estate function. The successful candidate will execute current administrative processes while simultaneously designing and implementing automation solutions to eliminate manual work over the next 12 months.

What you'll do at Ui Path

• Current Operations

• Portfolio Management: Oversee lease administration through Avison Young partnership, managing portfolio tracking, critical dates, and database accuracy in AVANT platform

• Transaction Support: Assist real estate managers with renewals, terminations, expansions, and decision-support materials

• SAP & Procurement: Create purchase orders, insert lease agreements, ensure cost center allocation accuracy

• Access Control: Manage physical access deactivation for departing employees and conduct quarterly audits

• Compliance Reporting: Coordinate annual reporting and maintain auditable records for Watershed and potentially others

• Automation & Process Innovation

• Process Analysis: Map current workflows to identify automation opportunities across lease administration, transaction management, and compliance reporting

• Technology Integration: Design and implement automated workflows between existing systems (AVANT, SAP, Brivo) and new tools

• Digital Transformation: Lead the transition from manual processes to AI-powered solutions for lease analysis, space optimization, and vendor management

• System Optimization: Continuously improve integration between real estate platforms and enterprise systems

What you'll bring to the team

Technical Skills:

• Systems Proficiency: Experience with SAP, database management, and real estate platforms

• Automation Tools: Working knowledge of Ui Path’s process automation, and agentic platforms

• Data Analysis: Strong Excel/Google Sheets skills with ability to create automated reports and dashboards

• Project Management: Experience implementing technology solutions and process improvements

Domain Knowledge:

• Process Improvement: Demonstrated experience identifying inefficiencies and implementing solutions

• Cross-functional Collaboration: Experience working with Finance, Accounting, AP, and IT teams

Mindset & Approach:

• Automation-First Thinking: Natural inclination to ask "how can this be automated?" rather than "how do I do this faster?"

• Problem-Solving: Analytical mindset with ability to break down complex processes into automatable components

• Change Management: Comfort with ambiguity and ability to drive transformation while maintaining operations

Success Metrics:

• Year 1 Goals: Reduce manual administrative work by 50% through automation implementation

• Process Documentation: Create comprehensive automation roadmap and implementation timeline

• System Integration: Achieve seamless data flow between all real estate platforms

• Operational Excellence: Maintain current service levels while building future capabilities

Location & Collaboration:

• Based in Bucharest office

• Close collaboration with global Real Estate team and cross-functional partners

• Close collaboration with Real Estate & Facilities and Procurement leadership
