POSITION REQUIREMENTS

FORMAL EDUCATION:

Required:

  • Bachelor’s degree

Preferred:

  • Bachelor of Business Administration, Finance or Accounting.

KNOWLEDGE & EXPERIENCE:

Required:

  • Ability to read write and communicate in English business language.
  • Expertise in administrative tasks such as managing files and records, such as legal documents and contracts.
  • Knowledge of mathematics and its application
  • Significant knowledge of economic and accounting principles and practices, the financial markets, banking, and the analysis and reporting of financial data
  • Lease Administration experience would be an advantage but not necessary
  • 2+ years business
  • Ability to work independently day to day but collaborate to respond to queries in a timely manner, working under SBS GA SLA’s.

3.TECHNICAL/SKILL REQUIREMENTS:

Required:

  • Microsoft Office products Word, Excel, and PowerPoint.
  • Must have the ability to accurately calculate rent payments, prorations and summarize lease provisions, decision dates and obligations.
  • Clear and concise communication in verbal and written form.
  • Ability to arrange information according to specific rule(s).
  • Time management.

CORE RESPONSIBILITIES AND TASKS

This position is part of the Sherwin Business Services team and plays a key role in the administration of the Company’s leases. Primary responsibilities include the abstraction of the Company’s lease documents, accurate upkeep of the Lucernex database, compliance with audits, responding to queries in a timely manner, correction of leases in the system and training of new team members. This position has significant interaction with other functional areas, including Enterprise FP&A, Enterprise R&C, SBS GA, BPI, IT, Legal, and others, and will be entrusted with high-dollar and high-volume activities.

  1. Ensure the timely and accurate review, interpretation, abstraction, and input of lease data for all company leases and amendments.

  2. Review and analyze lease documents, which are received via the Lucernex mailbox, but may also include other methods.

  3. Creation of new leases and amendments to leases within the Lucernex system, if needed.

  4. Ensure that EMEAI car lease files are reconciled with Lucernex data and updated as needed. Support may extend to other regions if required.

  5. Maintain the lease database from which the monthly lease payments are issued, critical decision dates are tracked, and other lease data is summarized.

  6. Ensure critical decision dates are met related to early cancellations, etc.

  7. Respond to inquiries from the controllers, divisions, field personnel, accounting and others regarding lease payments, information, and critical dates.

  8. Review correspondence regarding changes in address, payments and terms in order that lease payments are issued to the proper party correctly.

  9. Obtain and analyze data for reporting and to support various reporting requirements such as ASC842 reporting for the US head office.

  10. Support the analyst with preparation of the monthly Lucernex balance sheet reconciliations as needed and work with the analyst to ensure quality, on time completion of these, along with suggestions for improvements. Moving to review and approval of reconciliations once familiar with the process.

  11. Support training for Lucernex and ideas for improvements and automation. Understand the Lucernex system and become a superuser, such that queries can be picked up and resolutions put in place if needed.

  12. Support other areas within the KL GA team as and when needed.

  13. Audit Amendments/Options and other misc. lease changes

  14. Audit support/adjustments where needed to the Lucernex lease Database.

  15. Ensure best practices and procedures have been followed.

  16. Assist with other tasks and projects as necessary.

  17. Drive continuous improvement – processes.

  18. Document Standard Operating Procedures (SOP’s).
