About the role
We are looking for a Recruiting Operations Program Specialist to own our talent acquisition infrastructure, data strategy, and reporting. In this individual contributor role, you will be responsible for building and maintaining the systems that allow our recruiting team to scale. You will act as the primary lead for recruiting analytics, translating complex datasets into actionable insights for Talent Leadership and executive stakeholders.
What you will do
- Systems & Process Optimization
- Workflow Design: Audit and improve recruitment workflows to ensure they are efficient and scalable for a global organization.
- Technology Management: Lead the evaluation, implementation, and maintenance of recruiting tools and platforms.
- Change Management: Act as the technical lead for system updates, ensuring recruiters and hiring managers are trained and processes are adopted.
- Operational Efficiency: Identify bottlenecks in the hiring funnel and implement automated or systemic solutions to resolve them.
- Data & Analytics
- Reporting Strategy: Build and maintain the "source of truth" for all recruiting data, moving beyond basic exports to deep-dive analysis.
- Predictive Modeling: Create data models for capacity planning, funnel health, and time-to-fill forecasting to support headcount goals.
- Executive Dashboards: Develop and manage high-level dashboards (using Tableau, Looker, or similar BI tools) for quarterly business reviews and leadership updates.
- Data Integrity: Establish and enforce data hygiene standards within the ATS and CRM to ensure reporting accuracy and compliance.
- Operational Support & Compliance
- Vendor Management: Manage relationships with external vendors, including background check providers, job boards, and agencies.
- Candidate Experience Tracking: Use data to monitor and improve candidate NPS and hiring manager satisfaction scores.
- Compliance & Audit: Ensure all recruiting processes meet global compliance standards and internal audit requirements.
- Budgeting: Track and optimize the recruiting technology budget to ensure a high ROI on all tools.
What you will need
- Experience: 4+ years of professional experience, with at least two years focused specifically on Recruiting Operations, or People Operations
- Scale: Proven experience supporting a recruiting organization through periods of significant growth or organizational change.
- ATS Expertise: Administrator-level proficiency in modern ATS platforms (e.g., Greenhouse, Lever, Ashby, or Workday), including experience with API integrations.
Technical Skills:
- Intermediate to advanced SQL skills are highly preferred.
- Proficiency in Recruiting/Employee data visualization in tools like Tableau, Looker, or PowerBI.
- Advanced Excel skills (pivots, complex formulas, data modeling).
- Experience with automation tools
- Project Management: Experience managing cross-functional projects from discovery through to launch and maintenance.
- Communication: Ability to present complex data to non-technical stakeholders and influence leadership through evidence-based recommendations.
