Overview

The CoreAI organization at Microsoft builds the end-to-end AI stack and is core to Azure AI innovation and differentiation, as well as all of Microsoft’s flagship products, from GitHub, to Office, Teams, and Xbox. We are the team building Responsible AI, Azure OpenAI, Model as a Service, Azure ML, Cognitive Services, and the global Azure AI infrastructure for running the largest AI workloads on the planet.

Within CoreAI, the Responsible AI organization plays a critical role in shaping how Microsoft builds, governs, and scales AI systems with trust, accountability, and transparency at the center. We are seeking a highly experienced Executive Assistant / Executive Business Administrator to support a senior leader within the Responsible AI organization and their leadership team. This role operates at the center of a fast‑moving, highly visible organization and requires exceptional judgment, executive presence, and the ability to operate independently in a complex and ambiguous environment.

The ideal candidate is a trusted partner who can anticipate needs, remove friction, and enable leaders and teams to operate at their best. You will manage a broad scope of executive, organizational, and operational responsibilities while handling highly sensitive information with discretion and professionalism.

Responsibilities

Executive & Calendar Management:

  • Provide strategic calendar and time‑management support for a senior executive, making informed decisions based on shifting business priorities and organizational needs.

  • Manage complex, high‑volume calendars and meeting logistics across global stakeholders, including senior leaders and executive offices.

Organizational & Team Support:

  • Support a large, fast‑growing organization through headcount management, requisition tracking, onboarding/offboarding, and distribution list management.

  • Partner closely with HR, Staffing, Finance, Facilities, and peer administrative teams to enable smooth execution of organizational priorities.

Budget, Expenses & Procurement

  • Manage operating budgets and expense workflows, proactively identifying discrepancies, risks, and near‑overages.

  • Oversee procurement and asset tracking for equipment, new‑hire setup, refreshes, and transfers, ensuring policy compliance and accuracy.

Space & Facilities Management:

  • Lead space planning and office logistics, including space allocation, compression planning, and individual or group moves.

  • Coordinate facilities requests and new‑employee office setup to ensure seamless transitions.

Events, Rhythm & Culture

  • Plan and execute team‑level morale events, offsites, and onboarding experiences.

  • Provide administrative and logistical support for org‑wide events, including town halls and leadership meetings, in partnership with cross‑functional teams.

Judgment, Confidentiality & Executive Partnership

  • Handle highly sensitive and confidential information with discretion, integrity, and sound judgment.

  • Act as a trusted partner to senior leaders, navigating ambiguity, anticipating needs, and removing operational friction.

Qualifications

Required Qualifications:

  • 7+ years of Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administrative support for executive or senior‑level management.

Other Requirements:

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud Background Check upon hire/transfer and every two years thereafter.

Preferred Qualifications:

  • Bachelor’s Degree in a relevant field (e.g., Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology) or equivalent experience.

  • Demonstrated proficiency with Microsoft tools and internal systems including Outlook, Microsoft Office, Teams, Employee Central, HRInsights, My Expense, iCIMS, My Order, and Share Point.

  • Demonstrated experience providing administrative or executive support in a fast‑paced, high‑visibility environment.

  • Excellent written and verbal communication skills, with the ability to engage effectively across executive‑level stakeholders.

  • Proven ability to prioritize work, manage multiple workstreams, and operate with urgency and accuracy.

  • Demonstrated sound judgment, professionalism, and the ability to remain calm and effective in high‑pressure situations.

  • Ability to work confidentially with highly sensitive material and information with discretion.

Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.
