Job Summary

The Senior Grants Administrator provides full lifecycle research administration support across a complex portfolio of principal investigators (PIs). The role serves as a primary advisor to faculty on grant management, financial strategy, compliance, and operational execution.

This position supports NIH, industry, foundation, and internal funding sources and operates within a hybrid work model.

Qualifications Education:

Bachelor's Degree Related Field of Study required:

Required Qualifications:

  • 5+ years of experience in research administration or grants management
  • Experience with pre-award and post-award processes
  • Experience managing NIH or other federally funded grants
  • Demonstrated financial management and budgeting experience

Experience: Pre-Award

  • Develop and prepare grant proposals, budgets, and submission materials
  • Coordinate institutional review and submission processes
  • Ensure compliance with sponsor guidelines and submission requirements

Post-Award

  • Establish and manage research funds
  • Monitor budgets, expenditures, and financial performance
  • Perform financial forecasting and variance analysis
  • Prepare sponsor reports and deliverables

Workday Costing & Financial Management

  • Manage costing allocations across multiple funding sources (grants, cost centers, internal funds)
  • Initiate and complete CAPAS transactions (retro costing, payroll adjustments)
  • Reconcile payroll expense to grant budgets and financial reports
  • Ensure alignment with Budgeted effort, sponsor allowability and institutional policy

Portfolio Management

  • Manage multiple PI portfolios across diverse funding mechanisms
  • Serve as primary financial and administrative contact
  • Advise on funding strategy, cost allocation, and resource planning

Compliance & Risk

  • Ensure adherence to federal, sponsor, and institutional requirements
  • Monitor effort certification and salary cap compliance
  • Identify and escalate financial or compliance risks

Workforce & Operational Support

  • Support payroll/time tracking alignment (UKG)
  • Assist with hiring and labor distribution planning
  • Coordinate contractor onboarding via Beeline
  • Align staffing with funding and portfolio needs

Collaboration

  • Partner with Research Management, Finance, HR, and Compliance
  • Serve as liaison between faculty and administrative teams
  • Support high-volume proposal cycles and operational priorities

Preferred Qualifications:

  • Experience in academic medical center environment
  • Experience with Workday and costing allocations
  • Experience with CAPAS or similar payroll allocation tools
  • Familiarity with UKG and/or Beeline systems
  • Certified Research Administrator (CRA)
