The Grant Administrator will serve as an integral partner in all grant applications, building budgets, providing guidance, resolving issues, and helping navigate the research proposal and submission process. The Grant Administrator will serve as the primary liaison between the Principal Investigators, MGB Research Management, and the research administrators based at affiliate and subaward sites. Under the guidance of the MPEC Administrative Finance Manager, the Grant Administrator will comply with sponsor policies and procedures, provide counsel to MPEC investigators regarding all aspects of research administration, and will ensure the successful execution of sponsored awards. The Grant Administrator will assist with study procurement and follow all applicable procurement regulations, troubleshoot issues, resolve roadblocks to advance research efforts, and serve as an effective representative of the Center. Additionally, the Grant Administrator will ensure the responsible and compliant use of sponsored award and sundry funds by conducting budget forecasting, monitoring fund statements, resolving accounting issues, and overseeing personnel allocations.
Pre-Award:
- Oversee all aspects of the grant application process, including development of study budgets for sponsored research and associated funds in accordance with sponsor and MGB fiscal policies and procedures
- Serve as primary contact for collaborating sites regarding development of budgets, addressing fiscal questions, and monitoring for compliance with MGB and sponsor policies
- Understand and conform with the administrative compliance regulations of all sponsors as well as with MGB policy; stay current and up-to-date on all policy changes
- Assist with maintaining and producing up-to-date NIH Common Form Other Support and Biosketch and supplement for Center faculty.
Post-award:
- Provide Principal Investigators and subaward sites counsel regarding fiscal strategy; anticipate and proactively address problems
- Consult with the Compliance Specialist to ensure appropriate approvals and agreements are in place for human subjects work and data and materials transfers; monitor as appropriate through award life cycle
- Monitor project expenditures, including monthly assessments of fund activity; make recommendations of actions as necessary; prepare and maintain financial reports on an ongoing basis
- Collaborate with Principal Investigators and Project Managers on annual NIH/foundation progress reports
- Provide timely closeout of all expired projects through the coordination of fiscal and administrative resources throughout the system
- Advise regarding the allowability of costs to be charged to a grant and assist with research procurement
- Work with Research Finance to resolve complex accounting issues
MPEC responsibilities:
- Meet bi-weekly with Administrative Finance Manager to review progress
- Manage salary allocations and effort distributions for Center personnel
- Review and distribute effort reports
- Perform financial analysis and forecasting, both short-term and long-term, and prepare reports for Center leadership
- Work in partnership with the Administrative Finance Manager, Principal Investigators and the Project Manager to develop a strategic plan for program growth
- Collaborate with Administrative Manager(s) to guide and educate fellows and younger investigators in the MPEC through pre- and post-award grant processes
- Other duties as assigned when research policies change or workloads increase
Job Summary:
Summary: Works with Principal Investigators and Department Administrators to develop grant submissions, perform budget forecasting, monitor fund statements, resolve accounting issues, perform accounts payable/accounts receivable, process POs, and function as liaison to grantor agencies and subcontracting institutions. Provides guidance, resolves issues and helps navigate the research proposal and submission and application process.Essential Functions-Processes and prepares research grant proposals, awards, and transactions, maintaining grant/contract records in compliance with institutional and research sponsors.
-Assists with budgets, justifications, and materials for financial reporting.
-Reviews proposals for compliance with sponsor and organizational guidelines; verify all sponsor requirements are met.
-Responsible for processing purchase orders, managing accounts receivable/accounts payable, and resolving accounting requests.
-Take ownership of managing an assigned portfolio of research departments and serve as the primary Pre-Award/Post-Award resource for department administrators and PIs.
-Monitors expenditures and assures budgetary compliance; verifies, identifies, and evaluates excessive charges; and gives advice on allowability of costs to be charged to grant.
Qualifications:
Education:
Bachelor's Degree or advanced degree.
Experience:
2-5 years of related experience required
Experience with NIH grants preferred
Advanced Excel skills required
