Office & Admin Coordinator – Oslo About the Role:
We are looking for an organized and proactive Office & Admin Coordinator to join our team in Oslo.
In this role, you’ll ensure the smooth running of our office by managing key administrative functions and maintaining an efficient, welcoming work environment.
Key Responsibilities:
- Develop and maintain standardized processes for office and admin operations.
- Manage day-to-day administrative tasks, including managing office supplies, coordinating meetings, and handling correspondence.
- Oversee facility management, including maintenance, repairs, and security.
- Ensure that common areas and conference facilities are representative and functioning
- Ensure compliance with health, safety, and environmental regulations.
- Welcome guests, customers, and internal colleagues, ensuring a positive experience.
- Manage the phone desk/switchboard and assist other functions in the organization with various administrative tasks.
- Assist in organizing company events, such as seminars, team-building activities, parties, and workshops.
- Handle scanning and processing of all incoming/outgoing official documents.
- Manage a cost-efficient office operations with constant focus on optimizing our supplier cost base.
We are looking for:
- Proven experience in administrative / receptionist roles
- Proficiency in MS Office
- A customer-oriented mindset with excellent communication skills.
- Fluency in Norwegian and English, both spoken and written.
- A responsible, committed, and sociable individual with strong multitasking abilities.
- Ability to prioritize tasks and meet deadlines efficiently.
- You must have a driving license
