As an Executive Secretary in our team, you play a pivotal role in ensuring the smooth operation of daily activities and executive communications. Job Responsibilities

  • Manage daily operations and coordinate complex calendars for senior leaders
  • Organize and facilitate meetings, ensuring all logistics and communications are handled with professionalism and confidentiality
  • Prepare, reconcile, and process expenses, invoices, and travel claims in line with company guidelines
  • Arrange multifaceted domestic and international travel itineraries
  • Communicate effectively with management and resolve issues using sound judgment
  • Draft and edit high-quality, concise emails and correspondence
  • Build and maintain strong relationships with internal partners and administrative colleagues
  • Update and edit Excel spreadsheets and PowerPoint presentations as requested
  • Support internal projects and ad hoc assignments as needed
  • Proactively manage time away and ensure seamless backup support for executives
  • Foster a collaborative and inclusive team environment

Required qualifications, capabilities, and skills

  • Senior-level administrative or operational management experience in a large organization
  • Strong time management, organizational skills, and attention to detail
  • Demonstrated ability to lead and influence without direct authority
  • Ability to prioritize and manage multiple tasks in a fast-paced environment
  • Excellent interpersonal and relationship-building skills
  • Exceptional verbal and written communication skills
  • High proficiency with Microsoft Power

Point and Excel:

  • Proven ability to maintain confidentiality and exercise sound judgment
  • Enthusiastic, self-motivated, and effective under pressure
  • Professional demeanor and commitment to high standards of service

Preferred qualifications, capabilities, and skills

  • Experience supporting senior executives in a financial services or similar environment
  • Track record of building strong internal networks and collaborative relationships
  • Experience with expense management and travel coordination systems
