Position Overview
We are seeking a dedicated Facility Coordinator with technical facility knowledge to support daily operations and maintenance of client facilities across JLL India portfolios. The ideal candidate brings hands-on facility management experience, practical understanding of building systems and MEP operations, and excels at coordinating multiple service providers while ensuring optimal workplace environments for building occupants.
Key Responsibilities
Daily Operations Management
The Facility Coordinator will oversee day-to-day facility operations including coordination of housekeeping, maintenance, security, and support services. This involves conducting regular facility inspections and walkthroughs, monitoring building systems performance (HVAC, electrical, plumbing, fire safety), addressing occupant requests and complaints promptly, and maintaining operational logs and incident reports. The role requires ensuring compliance with health, safety, and environmental regulations while maintaining high service delivery standards.
Technical Coordination & Troubleshooting
The coordinator will provide first-level technical assessment of building systems issues, coordinate with engineering teams on HVAC, electrical, and plumbing repairs, understand basic building automation systems (BMS) and energy management, perform preliminary diagnostics before escalating to specialists, and monitor critical infrastructure performance indicators. This requires practical knowledge of MEP systems to effectively communicate with technical vendors and validate work quality.
Vendor & Contract Management
Responsibilities include coordinating with multiple service vendors and contractors, monitoring vendor performance against SLAs and KPIs, processing work orders and service requests through CAFM systems, managing preventive maintenance schedules, obtaining quotations for repairs and small projects, and technically evaluating vendor proposals and repair recommendations. The coordinator serves as the primary liaison between vendors, building management, and occupants.
Space & Move Management
The position involves coordinating office moves, additions, and changes (MAC activities), updating floor plans and space allocation records, managing desk allocation and seating arrangements, coordinating furniture installation and workspace modifications with consideration for electrical and data connectivity requirements, and supporting space planning initiatives with accurate data and technical feasibility input.
Administrative & Documentation
Key tasks include maintaining comprehensive facility documentation and compliance records, managing building access control and visitor management systems, processing invoices and maintaining budget tracking spreadsheets, preparing regular operational reports and dashboards, maintaining asset registers and equipment inventories, and documenting technical maintenance histories and system performance data. Documentation accuracy and timely reporting are essential.
Health, Safety & Compliance
The Facility Coordinator ensures fire safety equipment inspections and compliance, coordinates emergency drills and occupant training sessions, maintains first aid supplies and incident documentation, monitors environmental compliance (waste management, energy efficiency), implements workplace safety protocols and signage requirements, and understands emergency shutdown procedures for critical building systems.
Client & Occupant Services
Delivering excellent customer service involves responding to occupant queries and service requests efficiently, coordinating amenities management (pantry, cafeteria, common areas), organizing facility-related communications and announcements, gathering occupant feedback to improve service delivery, supporting workplace experience initiatives, and translating technical issues into clear communication for non-technical occupants.
Required Qualifications
Education & Experience
A Bachelor's degree in Facility Management, Mechanical/Electrical Engineering, Building Services, or related technical field is required, along with 3-4 years of proven experience in facility management, building operations, or workplace services. Experience within commercial office environments, corporate campuses, or property management with exposure to technical operations is preferred.
Technical Skills & Knowledge
Working knowledge of MEP (Mechanical, Electrical, Plumbing) systems and operations, basic understanding of HVAC systems, chillers, AHUs, and air conditioning principles, familiarity with electrical distribution, UPS systems, and DG sets, understanding of fire fighting systems, fire alarms, and emergency protocols, awareness of building automation systems (BMS) and energy monitoring, and ability to read and interpret technical drawings and equipment manuals are essential.
Proficiency in Computer-Aided Facility Management (CAFM) systems or similar platforms, strong MS Office skills particularly Excel for reporting and tracking, familiarity with health and safety regulations and standards, and knowledge of vendor management and SLA monitoring complete the technical toolkit.
