Position Overview

The Director, Facilities Management is a senior leadership position responsible for driving strategic facilities management operations across multiple cities in India. This role requires executive-level oversight of integrated facilities services, multi-site portfolio management, regional vendor partnerships, key client relationships, and organizational leadership while ensuring operational excellence, risk management, regulatory compliance, and innovation across geographically dispersed operations. The Director serves as a strategic business partner, delivering value-driven solutions that support client business objectives and organizational growth.

Key Responsibilities

Strategic Leadership & Multi-City Operations Management

Provide strategic direction and operational leadership for facilities management services across multiple cities and regions within India. Develop and execute regional facilities management strategy aligned with organizational objectives and client requirements. Establish operational frameworks, governance structures, and service delivery models that ensure consistency, quality, and efficiency across all locations. Drive standardization of processes, systems, and best practices while accommodating local requirements and market nuances. Monitor portfolio performance through comprehensive dashboards, analytics, and business intelligence. Lead quarterly business reviews, strategic planning sessions, and executive presentations. Establish resource allocation strategies, capacity planning, and scalability frameworks to support portfolio growth. Coordinate cross-functional collaboration with regional and corporate stakeholders. Champion organizational culture, values, and service excellence across all operational sites.

Janitorial Services Management

Establish regional janitorial services strategy encompassing cleaning programs, hygiene standards, quality frameworks, and sustainability initiatives across all sites. Develop comprehensive service specifications, standard operating procedures, and quality assurance protocols ensuring consistent service delivery. Implement centralized monitoring systems including digital audits, real-time dashboards, and mobile inspection platforms. Drive innovation in cleaning methodologies including green cleaning programs, microfiber technology, and electrostatic disinfection systems. Establish regional training academies and certification programs for janitorial staff. Monitor key performance indicators including cleanliness scores, customer satisfaction, cost per square foot, and environmental impact metrics. Lead crisis response protocols for pandemic situations or health emergencies requiring enhanced cleaning interventions. Negotiate regional contracts achieving economies of scale while maintaining service quality standards.

Waste Management

Design and implement comprehensive regional waste management strategy addressing segregation, collection, treatment, transportation, and disposal across all waste categories including municipal solid waste, recyclable materials, hazardous waste, e-waste, biomedical waste, and construction debris. Ensure strict compliance with State Pollution Control Board regulations, Municipal Solid Waste Rules, Hazardous Waste Management Rules, E-Waste Management Rules, and Biomedical Waste Management Rules across all operational cities. Establish waste analytics platforms tracking generation rates, diversion rates, disposal costs, and environmental impact. Drive circular economy initiatives including waste-to-resource programs, composting facilities, and material recovery partnerships. Develop relationships with authorized waste processors, recyclers, and disposal facilities across multiple jurisdictions. Implement waste reduction targets aligned with client sustainability goals and corporate ESG commitments. Coordinate annual hazardous waste authorization renewals and maintain comprehensive waste documentation and manifest tracking systems.

Landscaping Services

Oversee regional landscaping strategy balancing aesthetic excellence, environmental sustainability, and cost optimization across diverse climatic zones and property types. Develop site-specific landscape master plans considering local climate conditions, water availability, native species, and maintenance requirements. Implement water conservation programs including drip irrigation, rainwater harvesting integration, and drought-resistant plantings. Establish seasonal planting calendars, maintenance schedules, and integrated pest management protocols. Drive biodiversity initiatives including pollinator gardens, native habitat restoration, and urban forestry programs. Leverage technology including soil moisture sensors, weather-based irrigation controllers, and landscape management software. Coordinate with municipal authorities regarding tree management, pruning regulations, and right-of-way maintenance. Monitor landscape performance through visual inspections, photographic documentation, and client satisfaction surveys. Negotiate regional landscape contracts optimizing quality, coverage, and cost efficiency.

Parking Management

Lead comprehensive parking operations strategy across multi-city portfolio including surface lots, structured parking facilities, and basement parking areas. Implement integrated parking management systems including automated payment solutions, license plate recognition, mobile applications, and real-time space availability platforms. Develop parking policies addressing employee allocation, visitor management, EV charging infrastructure, accessible parking, and premium parking programs. Optimize revenue generation through dynamic pricing, permit management, and third-party parking partnerships. Establish parking security protocols including surveillance systems, access control, emergency response procedures, and incident reporting. Monitor parking utilization analytics identifying optimization opportunities and space planning recommendations. Coordinate parking facility maintenance including structural repairs, lighting upgrades, ventilation systems, and waterproofing. Implement sustainable parking initiatives including EV charging networks, bicycle parking facilities, and carpool programs supporting client sustainability objectives.

Civil & Interior Works

Provide strategic oversight of civil and interior renovation programs across regional portfolio including space optimization, tenant improvements, building upgrades, and capital improvement projects. Establish project governance frameworks including approval hierarchies, budget controls, quality standards, and safety protocols. Lead high-value and complex renovation projects requiring executive stakeholder management and organizational coordination. Develop regional contractor networks, empaneled vendor lists, and framework agreements ensuring quality, reliability, and competitive pricing. Implement project management methodologies, digital collaboration platforms, and documentation standards. Monitor project portfolios tracking timelines, budgets, quality metrics, and client satisfaction. Ensure design compliance with local building codes, accessibility standards, and corporate brand guidelines. Drive value engineering initiatives identifying cost savings without compromising quality or functionality. Coordinate with procurement, finance, and legal teams for contract execution and payment processing.

Vendor Management

Develop and execute regional vendor management strategy establishing strategic partnerships with best-in-class service providers across all facilities disciplines. Lead enterprise-level vendor selection processes including market assessments, capability evaluations, financial due diligence, and competitive negotiations. Establish vendor governance frameworks including performance scorecards, quarterly business reviews, and continuous improvement programs. Implement vendor risk management protocols addressing financial stability, insurance compliance, labor compliance, and business continuity. Drive vendor consolidation initiatives achieving economies of scale and operational efficiencies. Develop vendor capability enhancement programs including training, technology adoption, and safety certifications. Maintain strategic relationships with C-suite executives of key vendor organizations. Monitor regional spend, contract compliance, and payment performance. Resolve complex vendor disputes and escalations requiring executive intervention. Champion diversity and inclusion in vendor selection promoting local and minority-owned businesses.

Client Management

Serve as executive relationship owner for key strategic clients and senior stakeholder engagement across regional portfolio. Develop deep understanding of client business strategies, organizational priorities, and real estate objectives. Lead client strategic planning sessions, annual business reviews, and executive presentations. Build trusted advisor relationships with client C-suite executives, real estate leaders, and operational stakeholders. Proactively identify client challenges and develop innovative solutions demonstrating thought leadership and value creation. Manage complex client escalations requiring executive attention and strategic resolution. Drive client retention and portfolio expansion through exceptional service delivery and strategic consultancy. Represent organization at client industry events, conferences, and networking forums. Coordinate internal resources including technical specialists, account teams, and corporate support functions to deliver integrated client solutions. Monitor client satisfaction through formal surveys, regular feedback sessions, and relationship health assessments.

People Leadership & Organizational Development

Lead, inspire, and develop regional facilities management organization spanning multiple cities, service lines, and functional disciplines. Build high-performing leadership teams including site-based senior managers, functional specialists, and operational supervisors. Establish organizational structure, role clarity, reporting relationships, and decision-making authority appropriate for portfolio complexity and geographic dispersion. Drive talent acquisition strategy attracting industry-leading professionals and building diverse, inclusive teams. Develop comprehensive learning and development programs including leadership development, technical certifications, and succession planning. Champion performance management culture with clear objectives, regular feedback, and merit-based recognition. Foster employee engagement through transparent communication, career development opportunities, and inclusive workplace practices. Promote safety culture with zero-harm mindset, comprehensive training, and proactive hazard identification. Drive organizational change management initiatives supporting business transformation and continuous improvement. Technology, Innovation & Digital Transformation

Champion digital transformation agenda driving technology adoption, process automation, and innovation across regional operations. Develop technology roadmap aligned with organizational digital strategy and client technology expectations. Evaluate and implement enterprise facilities management platforms including CAFM/IWMS systems, IoT sensors, building analytics, and mobile workforce management solutions. Lead smart building initiatives including building automation system integration, energy management platforms, and occupancy analytics. Drive innovation programs including pilot deployments of robotics, AI-powered predictive maintenance, digital twins, and augmented reality applications. Establish innovation governance including business case development, ROI analysis, and stakeholder approvals. Develop data analytics capabilities providing actionable insights on operational performance, cost optimization, and risk management. Partner with technology vendors, startups, and research institutions exploring emerging solutions. Build organizational digital literacy through training programs and change management initiatives. Monitor industry trends, attend technology conferences, and contribute thought leadership on facilities technology innovation.

Statutory Compliance & Risk Management

Ensure comprehensive regulatory compliance across all operational cities addressing diverse state and municipal regulations, national building codes, and industry standards. Maintain expert knowledge of applicable legislation including National Building Code, Fire Prevention and Life Safety Act, Electrical Safety regulations, Environmental Protection Act, Factories Act, Contract Labor Act, and Occupational Safety regulations. Establish regional compliance management system tracking permits, licenses, statutory registrations, and certification renewals across multiple jurisdictions. Coordinate regulatory inspections, audits, and liaison with State Pollution Control Boards, Fire Departments, Electrical Inspectorates, and Municipal Authorities. Implement internal audit programs assessing compliance status, identifying gaps, and implementing corrective actions. Develop compliance training programs ensuring operational teams understand regulatory requirements and responsibilities. Monitor regulatory changes across different states adapting operational practices accordingly. Maintain comprehensive compliance documentation supporting audit trails and regulatory reporting. Lead enterprise risk management including business continuity planning, emergency preparedness, crisis management protocols, and insurance coordination. Establish incident reporting systems, root cause analysis procedures, and preventive action frameworks.

Financial Management & Business Performance

Provide strategic financial oversight of regional P&L including revenue management, cost optimization, margin enhancement, and budget performance. Develop annual budgets, financial forecasts, and multi-year business plans for regional portfolio. Monitor financial performance through monthly variance analysis, cost trend analysis, and profitability assessments. Identify cost optimization opportunities including process efficiencies, vendor negotiations, and resource optimization without compromising service quality. Drive revenue growth through portfolio expansion, service line development, and value-added offerings. Ensure accurate financial reporting, accrual management, and month-end closing processes. Coordinate with finance teams on invoicing, collections, payment processing, and working capital management. Develop business cases for capital investments, technology implementations, and strategic initiatives. Establish financial controls, authorization limits, and procurement governance. Monitor key financial metrics including EBITDA, operating margins, cost per square foot, and client profitability. Present financial performance and strategic recommendations to senior leadership and board committees.

Required Qualifications

Education: Bachelor's degree in Engineering (Civil, Mechanical, Electrical), Architecture, Facilities Management, Business Administration, or related field (required). Master's degree in Business Administration, Engineering Management, or related discipline (preferred). Professional certifications such as Certified Facility Manager (CFM), Facility Management Professional (FMP), LEED Accredited Professional, or Project Management Professional (PMP) highly valued.

Experience: Minimum 15-18 years of progressive facilities management experience with at least 8-10 years in senior leadership roles managing multi-site, multi-city operations. Demonstrated track record of managing large portfolios (5+ million square feet), complex client relationships, and regional teams (100+ employees). Experience in Indian commercial real estate sector with deep understanding of regional market dynamics, regulatory environments, and business practices across multiple cities.

Technical Expertise: Comprehensive knowledge of integrated facilities management, building systems engineering, construction management, regulatory compliance, and technology platforms. Deep understanding of Indian statutory requirements, state-specific regulations, and local compliance frameworks. Proficiency in financial management, contract administration, and business operations. Experience with CAFM/IWMS platforms, building automation systems, and facilities analytics tools.
