Job Title: Facility Executive
Job Summary
The Facility Executive is responsible for overseeing the day-to-day operations, maintenance, safety, and administration of office buildings and facilities. The role ensures a safe, clean, efficient, and well-maintained working environment for employees and visitors.
Key Responsibilities Facility Operations
- Manage daily facility operations and maintenance activities.
- Ensure smooth functioning of electrical, HVAC, plumbing, fire safety, and other building systems.
- Conduct regular inspections of facilities and equipment.
- Coordinate preventive and corrective maintenance schedules.
Vendor Management
- Liaise with external vendors, contractors, and service providers.
- Monitor vendor performance and ensure compliance with service-level agreements (SLAs).
- Process work orders and verify completion of assigned tasks.
Health, Safety & Compliance
- Ensure compliance with safety regulations, building codes, and company policies.
- Conduct safety audits and emergency preparedness drills.
- Maintain fire safety equipment and emergency response procedures.
- Ensure statutory compliance related to facilities management.
Administrative Support
- Maintain facility records, maintenance logs, and asset registers.
- Manage office space allocation and seating arrangements.
- Coordinate office moves, renovations, and workspace planning.
- Handle employee facility-related requests and complaints.
Budget & Cost Control
- Monitor facility expenses and utility consumption.
- Assist in preparing facility budgets and cost-saving initiatives.
- Track maintenance and service contract expenditures.
Security Management
- Coordinate with security teams to ensure building security.
- Monitor access control systems and visitor management processes.
- Investigate and report facility-related incidents.
Required Qualifications
- Bachelor's degree or Diploma in Facilities Management, Engineering, Administration, or a related field.
- 2–5 years of experience in facilities or administration management.
- Knowledge of building maintenance systems and safety regulations.
- Proficiency in MS Office (Excel, Word, PowerPoint).
