Receptionist
Position Summary: The Receptionist serves as the first point of contact for visitors, clients, and employees, providing professional front desk services while supporting administrative and facility operations to create a welcoming and efficient workplace environment.
Key Responsibilities:
The Receptionist manages the front desk area, greeting visitors warmly and professionally, verifying visitor credentials, and issuing access passes in accordance with security protocols. This role creates positive first impressions while ensuring building security and maintaining a professional reception environment.
Daily responsibilities include answering and directing incoming calls to appropriate departments or individuals, managing the main email inbox and responding to general inquiries, and scheduling meeting rooms and coordinating room setup requirements. The Receptionist maintains visitor logs and access records, monitors reception area presentation and tidiness, and handles incoming and outgoing mail, packages, and courier services.
The position involves providing administrative support including data entry, document preparation, and filing, coordinating with facilities team for maintenance requests or building issues observed in common areas, and assisting with visitor hospitality arrangements such as refreshments and conference room preparation. The Receptionist also supports building emergency procedures including evacuation coordination, maintains office supplies for reception and common areas, and assists with special events, meetings, or corporate functions as needed.
Required Qualifications:
- High school diploma or equivalent; additional certification in office administration preferred
- Minimum 1-2 years of receptionist or customer service experience
- Excellent verbal and written communication skills
- Professional appearance and demeanor
- Proficiency with phone systems, Microsoft Office, and basic office equipment
Preferred Skills:
- Experience in corporate or commercial real estate environments
- Multi-tasking ability with strong attention to detail
- Friendly, approachable personality with service-oriented mindset
- Basic knowledge of visitor management systems
- Ability to handle sensitive information with discretion and confidentiality
