The Internal IT team at Jet Brains is focused on providing reliable, efficient, and cutting-edge infrastructure and services that empower all Jet Brains employees worldwide. The team plays a critical role in ensuring productivity and managing key internal resources. Our goal for this role is to establish and drive an effective internal system for managing and utilizing third-party software assets in use at Jet Brains.

We are looking for a proactive, analytical specialist with strong engineering and organizational skills to join our highly technical and results-driven team.

As part of our team, you will:

  • Assess and take ownership of the current IT-managed steps in the software procurement process to build foundational understanding and enable future improvements.

  • Design, implement, and continuously improve the end-to-end process for managing the lifecycle of external software assets (SAM Process Ownership).

  • Collaborate closely with internal stakeholders to understand their needs, gather requirements, and ensure the SAM process supports business objectives.

  • Establish and manage a central, accurate inventory of all external software licenses, user accounts with access, and deployment and usage information.

  • Manage the full cycle of software license renewals, coordinating internally to assess needs and ensure continuity of service.

  • Conduct regular usage reviews and license reconciliations to ensure compliance, identify underutilized licenses, and drive cost avoidance and optimization.

  • Define guidelines for selecting software billing plans in company-wide and cross-team tool use.

  • Act as an organizational administrator and owner for a set of third-party systems in use (e.g. Notion, Miro, Figma, and hundreds of various other tools).

  • Act as an internal expert, consulting with various teams to help colleagues find the right tools and understand licensing rules.

We are looking for someone with:

  • 2+ years (preferable) of experience in Software Asset Management (SAM), IT Asset Management, or a related field.

  • Experience with successful project implementation, such as establishing new processes or introducing SAM systems.

  • An understanding of complex licensing models and subscription terms.

  • Familiarity with data analysis and reporting tools for generating actionable insights and identifying optimization opportunities.

  • A strong service-oriented and collaborative approach.

  • Exceptional organizational skills.

  • The ability to work autonomously and manage project timelines effectively with a high degree of self-motivation.

  • The ability to approach problems with a proactive, systematic, and logical engineering mindset.

  • Good English skills, both written and spoken, for clear internal and vendor communications.

Our ideal candidate would have:

  • Experience with advanced components of technology such as implementing or administering a dedicated SAM system.

  • The ability to work with SAM methodologies.

  • Familiarity with diverse IT environments.
