Provide high-level administrative support to the Head of Line of Business (VP level), supporting global or regional responsibilities. The role requires professionalism, discretion, sound judgment, and regular interaction with senior leaders and confidential information.

Key Responsibilities

  • Manage complex calendars, meetings, teleconferences, and global travel arrangements
  • Prepare correspondence, presentations, reports, and meeting minutes
  • Act as first point of contact: screen calls, emails, and correspondence; prioritize and respond where appropriate
  • Coordinate internal and external business meetings, events, and off-site activities
  • Manage expenses, P-Card activities, and departmental budgets documentation
  • Maintain files, records, databases, process flows, and org charts
  • Support recruitment activities, onboarding, and departmental setup
  • Serve as liaison between the executive and stakeholders, ensuring timely communication and follow-up
  • Conduct research, gather data, and prepare analyses, reports, and recommendations
  • Lead or support special projects and oversee other assistants when required
  • Coordinate IT, facilities, and administrative process improvements
  • Independently manage priorities during executive travel or absence

Qualifications

  • High School Diploma or equivalent (required)
  • Minimum 8 years of relevant administrative or executive support experience
  • Advanced proficiency in MS Office and related tools
  • Strong written and verbal communication skills
  • Highly organized, self-directed, and able to manage multiple priorities under tight timelines
  • Proven ability to work independently and build effective relationships across teams
