The Hearst Office of General Counsel is seeking a Legal Technology Specialist to own the day-to-day adoption, administration, and continuous improvement of approved legal technology and AI tools across the department. This position will lead low-code tool development, be responsible for owning and maintaining knowledge resources, lead selected vendor and administrative processes, and be a key stakeholder in developing and supporting active technology and AI projects.

This role will also serve as a key resource for attorneys and legal support staff, leading and encouraging users get practical value from approved tools through training, office hours, documentation, and responsive support.

The right person does not need to be a software engineer. We’re looking for a communicator and problem-solver who is comfortable experimenting with lightweight AI platforms like Microsoft Power Automate, Copilot Studio, Claude, and Codex, and who can help others get real value from them. The position operates with a high degree of autonomy and is expected to drive AI engagement within the department.

Key responsibilities

Low-Code Development & Workflow Administration:

  • Own the development (including designing, building, testing, and maintaining) lightweight tools and automated workflows using approved low-code and no-code platforms. Current platforms include Microsoft Power Automate, Copilot Studio, Claude (Anthropic), and Codex, with the expectation that the toolkit will evolve over time.

  • Independently own the full lifecycle of assigned tools, from initial scoping and build through testing, documentation, user rollout, iteration, and retirement.

  • Identify opportunities to automate manual tasks, improve consistency, or fix recurring pain points that come up through user feedback, and exercise discretion to determine methods and approaches while also making recommendations and decisions regarding same.

  • Work closely with senior leadership to scope new build requests, document requirements, make recommendations, and review completed tools before they go live.

  • AI Enablement

  • Serve as a point of contact for attorneys and staff on approved AI and legal technology tools, including generative AI platforms used for drafting, review, research, and workflow support

  • Support colleagues in applying AI tools responsibly and effectively. This includes overseeing and providing prompt engineering guidance, use case development, and practical workflow integration.

  • Own communications with attorneys and staff, including providing support for common questions, making recommendations on and overseeing use cases, and workflow issues; escalate complex matters as appropriate.

  • Proactively gather and synthesize user feedback to identify recurring pain points and translate those patterns into training improvements, workflow fixes, or new low-code/no-code build opportunities based on your own recommendations and solutions.

Technology & AI Portfolio Support:

  • Partner with the Operations Manager on day-to-day execution of technology and AI portfolio activities.

  • Own the oversight of projects, including tracking project status, following up on open items, flagging delays or blockers for review, and making recommendations for how to move things forward.

  • Responsible for ensuring project documentation, trackers, and workspaces are updated and current.

  • Own the management of and communication across vendors, internal stakeholders, and team members on active work.

  • Documentation, reporting, and knowledge management

  • Lead the development and maintenance of internal knowledge resources for approved legal technology and AI tools, including SOPs, guidance materials, and support documentation.

  • Track training participation, support requests, and basic adoption metrics, identifying trends and making recommendations on same.

  • Prepare recurring summaries and lightweight reporting on usage, support trends, recurring issues, and make recommendations on opportunities for improvement.

  • Help maintain internal collaboration spaces and resource hubs so attorneys and staff can access current materials easily.

  • Support the preparation of internal presentations, updates, and materials for leadership and departmental communications.

Technology Administration

  • Support the operational and administrative side of the OGC’s technology portfolio.
  • Oversee the process for invoice approvals, vendor setup, and payment follow up, which includes coordinating with finance, procurement, and accounts payable
  • Own the lifecycle of legal technology vendors, including scheduling and coordination for vendor meetings, demos, product updates, and usage reviews as well as processing and tracking invoices, renewals, and related documentation.

Qualifications:

  • Required qualifications

  • Bachelor’s degree or equivalent practical experience.

  • 3+ years of experience in operations, technology management, legal technology, process improvement, enablement, consulting, or a related business function supporting professional end users in a corporate environment.

  • Experience with low-code or no-code tools like Power Automate or Claude Code

  • Experience supporting dashboards, metrics, or reporting related to adoption, service delivery, or operational performance.

  • Experience supporting internal users through training, onboarding, documentation, issue resolution, or change adoption.

  • Strong written and verbal communication skills, with the ability to create concise, useful documentation and communicate clearly with attorneys and business partners.

  • Demonstrated ability to manage multiple priorities, maintain strong attention to detail, and follow through consistently.

  • Experience coordinating operational or administrative processes such as vendor support, renewals, invoices, or cross-functional follow-up.

  • Proficiency with Microsoft Office and common collaboration tools.

  • Preferred qualifications

  • Experience supporting a legal, compliance, finance, or other professional services team.

  • Experience with enterprise AI tools or legal AI platforms used for drafting, review, research, or workflow support.

  • Experience creating training materials, self-service resources, or knowledge management content.

  • Experience working with document management systems, contract management software, or similar business tools.

  • Experience working in media, financial services, or another regulated environment.

In accordance with applicable law, Hearst is required to include a reasonable estimate of the compensation for this role if hired in New York City. The reasonable estimate, if hired in New York City, is $80,000–$100,000. Please note this information is specific to those hired in New York City. A final decision on the successful candidate’s starting salary and eligibility for overtime pay will be based on a number of permissible, non-discriminatory factors, including but not limited to skills and experience, training, certifications and education.
