Summary

This role extends core Service Now SAMPro/HAM capabilities to support regulatory compliance and audit-ready reporting for both internal THIP policies and external frameworks (e.g., NYDFS 500.13, SOX, GDPR, ISO 27001). The position collaborates with the ITAM team and cross-functional stakeholders (Risk, Audit, Security) to design and enforce controls ensuring a complete, accurate, and current asset inventory. Responsibilities include maintaining evidence for audits across ITAM-owned asset types (Open-Source, On-Prem software, SaaS licensing, and hardware assets). The role leverages Service Now, M365 Co Pilot, Power Automate, and other tools to streamline workflows, automate reporting, and enhance global collaboration.

Key Responsibilities

Regulatory Governance

  • Develop and maintain policies and procedures for complete, documented IT asset inventory in partnership with compliance teams.

  • Conduct periodic validation cycles and reconciliation activities to maintain audit-ready inventory data.

  • Support secure data disposal processes for nonpublic information, ensuring compliance with regulatory requirements.

Service Now SAMPro & HAM Controls:

  • Configure compliance-focused data models and workflows; maintain control evidence within Service Now records for traceability.

  • Implement license optimization and reclamation workflows; manage HAM lifecycle automation for hardware assets.

Reporting & Regulatory Evidence:

  • Produce standardized and ad hoc reports for regulators, auditors, and risk teams using Service Now, M365 (Excel, Share Point, Teams), and Power Automate for workflow automation and report distribution.

  • Maintain documentation repositories and audit trails, leveraging Share Point and Teams for secure, collaborative access.

Automation & Collaboration:

  • Design and implement Power Automate flows to streamline asset management processes, automate notifications, and ensure timely reporting.

  • Use M365 tools to facilitate remote collaboration, document management, and process tracking with global stakeholders.

Continuous Improvement

  • Identify control gaps and propose remediations; support initiatives to enhance discovery, normalization, and reconciliation fidelity.

  • Track and report on SLA compliance, reconciliation accuracy, and audit readiness metrics.

Qualifications

  • At least 4 years in ITAM with strong Service Now SAM Pro experience.

  • Demonstrated ability to support regulatory requirements (e.g., NYDFS 500.13, SOX, GDPR, ISO 27001) through platform controls, procedures, and evidence.

  • Proficiency in M365 (Co Pilot, Excel, Share Point, Teams) and Power Automate for workflow automation and reporting.

  • Preferred Certifications: Service Now SAM, ITIL Foundation, CSAM.

  • Familiarity with data privacy principles and secure data handling practices.
