Greenhouse is looking for a Regional Operations Coordinator to join our team on a part time, fixed term contract basis for 9 months!
As the Regional Operations Coordinator, you will be the operational heartbeat of our international offices, ensuring our regional leadership and culture initiatives run seamlessly. Reporting to the VP of EMEA, you will act as a central pillar for the region, bridging the gap between strategic planning and local execution for our EMEA and APAC teams.
In this role, you will partner closely with local management, the People Experience team, and our executive leadership community to foster a high-performance culture. From orchestrating high-stakes quarterly reviews to designing impactful social events, you will ensure our global offices remain connected, organized, and aligned with our broader mission.
Who will love this job
- A master coordinator – you thrive on managing moving parts and ensuring no detail is overlooked in complex, multi-time-zone environments
- A cultural champion – you are passionate about creating inclusive, engaging experiences that bring distributed teams together
- A proactive problem solver – you anticipate operational bottlenecks before they happen and implement systems to keep the team moving forward
- A collaborative communicator – you build strong relationships across departments and time zones, acting as a trusted liaison for leadership and staff alike
What you’ll do
- Manage the weekly and monthly meeting operating rhythm for regional leadership, including facilitating agendas and ensuring follow-through on shared goals
- Own the end-to-end execution of the monthly All Hands event, managing themes, prep, dry runs, and scheduling to accommodate APAC time zones
- Lead the planning and logistics for all regional culture and social events, including the EMEA Summer BBQ, Christmas Party, and Open Event in London
- Manage high-volume scheduling and coordination of international events across global time zones, optimizing for executive time and focus
- Create and manage the International Culture and communications plan to ensure consistent engagement across the region
- Partner with Marketing and People Experience teams to plan and execute logistics for customer dinners, executive offsites, and board-level meetings
- Manage expense reporting and administrative budgets with high accuracy and attention to detail
- Additional projects and responsibilities as business needs require
You should have
- 3+ years of experience in operations, event coordination, or administrative support within a fast-paced environment
- Demonstrated experience managing complex, high-volume scheduling across multiple international time zones
- Proven track record of executing large-scale events from concept to completion, including venue sourcing, programming, and communications
- Strong proficiency in GSuite, Slack, and Zoom, with an ability to learn new project management tools quickly
- Experience supporting senior leadership and managing sensitive meeting agendas with discretion
- Exceptional organizational skills and the ability to prioritize competing tasks under tight deadlines
- Experience with budget tracking and expense management, a plus
- Your own unique talents! Your background has given you a unique perspective and set of transferable skills that aren't always in alignment with a given role - but those are qualities we value at Greenhouse. If you don't meet 100% of the qualifications outlined above, we still strongly encourage you to apply
