The Administrative Assistant provides comprehensive administrative support to ensure the efficient operation of the department in a Québec-based, bilingual work environment. This role requires strong organizational skills, attention to detail, and the ability to work with enterprise systems such as SAP while supporting internal teams and external partners.
Job Description
Principales responsabilités
Effectuer les tâches administratives quotidiennes (classement, saisie de données, préparation de documents)
Répondre aux appels, courriels et correspondances en français et en anglais
Organiser les réunions, gérer les agendas et assurer la logistique
Rédiger des rapports, présentations et communications internes
Maintenir à jour les dossiers et documents confidentiels conformément aux politiques internes
Utiliser SAP pour soutenir les processus administratifs (saisie de données, rapports, demandes d’achat ou autres fonctions assignées)
Commander les fournitures de bureau et assurer le suivi avec les fournisseurs
Organiser les déplacements professionnels et traiter les notes de frais
Collaborer avec les différents services et contribuer à l’amélioration continue des processus administratifs
Qualifications et compétences
DEP, DEC ou formation équivalente en administration ou domaine connexe
Minimum de X années d’expérience dans un poste similaire
Maîtrise de la suite Microsoft Office (Word, Excel, Outlook, PowerPoint)
Bonne connaissance de SAP (obligatoire)
Excellentes capacités d’organisation et de gestion des priorités
Très bonnes habiletés de communication écrite et orale
Sens aigu de la confidentialité et du professionnalisme
Autonomie, rigueur et souci du détail
Exigences linguistiques
Maîtrise du français et de l’anglais, tant à l’oral qu’à l’écrit

Key Responsibilities
Perform daily administrative tasks including filing, data entry, document preparation, and record management
Answer and direct phone calls, emails, and correspondence in French and English
Schedule meetings, manage calendars, and coordinate logistics
Prepare reports, presentations, and internal communications
Maintain accurate and confidential files in compliance with company policies
Use SAP to support administrative processes (data entry, reporting, purchasing requests, or other assigned functions)
Order office supplies and liaise with vendors
Coordinate travel arrangements and process expense reports
Support coordination between departments and contribute to continuous improvement of administrative processes
Qualifications & Skills
Diploma of Vocational Studies (DEP), college diploma (DEC), or equivalent in administration or a related field
Minimum X years of experience in an administrative assistant or office support role
Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
Working knowledge of SAP (required)
Strong organizational and time-management skills
Excellent written and verbal communication skills
Ability to handle confidential information with discretion
Attention to detail, autonomy, and problem-solving abilities
Language Requirements
Fluent in French and English, both spoken and written – required
