About the role
Main responsibilities of CEU (AO) Management Team Assistant

Business travel arrangements
-
Manage business travel arrangements, flight tickets in co-operation with GBT travel company, including coordinating visits with countries and booking transportation and accommodations for AO VPs
-
Arrange flight tickets in co-operation with GBT travel company for AO Managers
-
Executes the admin process associated with business travels, e.g. enters details in travel request tool and registers flight tickets in J file, reimburses expenses in Concur and reviews monthly AMEX statements etc.

Administrative Support

Supports on requests to manage calendars, e.g. schedule meetings or coordinate appointments for AO VPs
-
Helps with time attendance system RON ( based on pre-defined rules) and closes monthly milage in GPS Webdispečink system

Communication & Marketing
-
Communicates with countries on various topics, if requested by AO VPs
-
Collaborate on various marketing campaigns to build CEU AO brand and support Chief of staff
-
Project Assistance
-
Participates in organisation of CEU events, e.g. LORD or Finance weeks etc.

Support meetings taking place in CEU AO, e.g. BRM
-
On occasional bases helps with preparation of presentations, reports or organisational structures up-dates etc. for AO VPs

Office and Operational Support
-
Takes care of office environment (3rd floor at Explora) and ensures it is tidy and well-organized, kitchen equipment and TV screen working
-
Order office supplies and various ad hoc requests as needed

Liaise with vendors and service providers, including admin process (creating POs in GET, invoices, communicating with vendors)
