Job Description
Reception & Administration:
- Greet visitors and assist with refreshments
- Support onboarding and small internal events
- Prepare signage, announcements, and digital materials
Kitchenettes & Break Areas:
- Refill and organize beverages, snacks, and breakfast items
- Keep areas tidy and assist with vendor visits (e.g., Dallmayr, water refills)
Storage & Supplies:
- Monitor and organize storage areas and food supplies
- Manage office inventory and supplier orders
Office & Facilities Maintenance:
- Maintain tidiness in office spaces and common areas
- Report and follow up on maintenance issues
- Accompany technicians and vendors when needed
Meeting Rooms
- Prepare and check rooms daily
- Manage bookings and ensure all equipment is functional
Mailroom & Couriers:
- Handle incoming and outgoing mail
- Coordinate courier services and maintain records
Mobile Phones (Orange)
- Manage distribution, setup, and returns of company phones and SIMs
- Update inventory records and coordinate with EUS
Vendor Coordination
- Liaise with Slov Clean (cleaning services) and Dallmayr (coffee Services)
Personality requirements and skills
- Experience in a similar role (receptionist, back office, office/facilities management)
- Communicative English skills (spoken and written)
- High school education or higher
- Proficiency in MS Office, especially Excel
- Reliability and a strong sense of responsibility
- Organized, proactive, and service-oriented personality
