Accountant (Commercial Building / Facility Management)

Reporting To:

Finance Manager / Property Manager / Building Owner

Job Summary:

The Accountant is responsible for managing all financial transactions, billing, vendor payments, tenant accounts, and financial reporting for the commercial building. The role ensures accurate bookkeeping, timely collections, proper budgeting, and compliance with financial policies and statutory requirements.

Key Responsibilities:

1.

Billing & Collections:

  • Prepare and issue monthly CAM (Common Area Maintenance) charges, utilities (electricity, water), parking fees, etc.
  • Monitor Customer payments, maintain accounts receivable, and follow up on overdue amounts.
  • Reconcile tenant accounts and respond to billing queries.

2.

Bookkeeping & Financial Records:

  • Maintain general ledger, journal entries, and daily accounting records.
  • Record all income and expenses related to building operations.
  • Maintain digital and physical documentation for audit purposes.

3.

Vendor & Expense Management:

  • Process vendor invoices and ensure timely payments.
  • Verify service delivery documentation (AMC, maintenance, security, housekeeping, repairs).
  • Track building operational expenses and maintain expense reports.

4.

Budgeting & Financial Planning:

  • Assist in preparing annual operational budgets for the building.
  • Monitor budget vs actuals and report variances.
  • Support cost-control initiatives and financial planning.

5.

Compliance & Statutory Requirements:

  • Ensure compliance with GST, TDS, PF, ESI, and other local tax regulations (as applicable).
  • Prepare and file statutory returns and coordinate with auditors.

Bank & Cash Management:

  • Manage building bank accounts, deposits, and reconciliations.
  • Maintain petty cash for daily building operations.
  • Monitor loan/EMI/interest payments (if applicable).

7.

Reporting & Analytics:

  • Prepare monthly/quarterly financial reports, cash flow statements, expenditure summaries.
  • Assist management in analyzing profitability, occupancy performance, and operational costs.

8.

Coordination & Communication:

  • Work closely with property management, facility teams, tenants, and vendors.
  • Support building management during inspections, audits, and renewals.
  • Provide financial inputs during contract negotiations (leases, AMC, procurement).

Required Qualifications & Skills

Education

  • Bachelor’s degree in Accounting, Finance, or Commerce (B.Com, M.Com)

Experience

  • 2–5 years of accounting experience; preferably in commercial buildings, malls, property management, real estate, or facility management.

Skills

  • Knowledge of accounting principles and building operations.
  • Proficiency in Tally, Quick Books, SAP, or property management software.
  • Strong analytical and financial reporting skills.
  • Good communication and coordination abilities.
  • Attention to detail and ability to meet deadlines.
