Job Description

Role Purpose:

  • To ensure an effective and customer focused service is provided in accordance with the contract specification and agreed service levels.
  • To develop and maintain a positive relationship with clients and Cushman and Wakefield vendors.
  • To provide core reception requirements while supporting the facilities team
  • Provide high quality customer service to both internal and external customers
  • Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality and client satisfaction.

Core Responsibilities:

  • Ensure client security processes are followed to include the signing in of visitors and issue/retrieve visitor passes.
  • Collection of guest visitors as and when required
  • Complete all reception tasks and oversee the catering activities, , guest & contractor registration including meeting room reservations, timely delivery and prompt removal and disposal of beverage/catering items as required.
  • Develop positive relationships with clients, local management and service providers.
  • Management of mail and processes for sending either through internal / external mail. This includes booking and receiving mail through courier companies.
  • Raising reactive tickets as and when necessary
  • Implementation of initiatives to ensure that best practice is achieved in every aspect of service delivery with particular focus on cost, quality, and client satisfaction.
  • Assist with monitoring outsourced contractors on an as needed basis for safety and security.
  • Process supplier invoices and raise purchase orders.
  • Sign in all visitors and issue / retrieve visitor passes. Respond to any visitor enquiries in a friendly and professional manner.
  • Complete meeting room inspections and resolve/report any issues on a daily basis.
  • Management and ordering of general office supplies.

Qualities and Personal Attributes: Essential

  • Proficient in using Microsoft office package.
  • Excellent communication skills and ability to communicate at all levels.
  • Have good anticipation, analytical skills, with problem solving aptitude.
  • Demonstrate and deliver strong customer service.
  • Excellent interpersonal skills and team building.
  • Excellent communication skills in English both written and spoken.
  • Able to work in a team environment but also independently.

  • Looks for new ways to differentiate CW services from the competition.
  • Shows initiative in identifying, recommending and pursuing new opportunities.

  • Supports colleagues in meeting the client’s needs.
  • Good understanding of H&S and risk awareness.

Skill and Experience

  • Minimum of 1 years’ experience working in a similar role or as a receptionist, senior level administration support in a corporate environment.
  • Key base experience is customer focus
