The Role

The Editorial Video Production Management team is seeking a Production Coordinator to provide essential administrative and logistical support across our UK portfolio and various US productions. This role serves as the operational engine for shoot logistics, from setting up vendor accounts to ensuring all parties are briefed on invoicing, policies, and technical specs. Working under the guidance of the Production Manager, you will act as a key liaison for the US Operations team to maintain our data reporting and production systems.

This role is based in our London office.

What will you be doing?

  • Execute the coordination of crews, equipment, and resources for physical production.

  • Book and organise complex travel logistics in line with company policy.

  • Act as the primary point of contact between Producers and logistics, providing real-time status updates.

  • Maintain 100% data integrity across shoot calendars and the production microsite; train creative teams on bespoke software and internal systems as needed.

  • Resolve daily logistical issues, monitor inventory, and collaborate with US Operations to maintain production infrastructure.

  • Lead the full "Wrap" process, ensuring project folders (releases, permits, actuals) are finalised and archived within 14 days of principal photography.

  • Manage the transactional part of the accounting process (POs, invoices, expense reconciliations).

  • Actualise final cost tracking through project wrap.

  • Own the end-to-end onboarding for freelancers and vendors (Tax/Right-to-Work/Profiles), working with the Production Manager for final sign-off.

  • Draft and compile production packs (Risk Assessments, permits, call sheets) for final review.

  • Advise producers on standard documentation tools and templates.

Who you are:

  • Experience: Minimum 2 years in a production office environment (digital/social/editorial video preferred).

  • Technical Knowledge: Proficiency in physical production protocols, equipment, releases, and production accounting/finance practices.

  • Software: Expert-level G-Suite skills (specifically Google Sheets) and the ability to master and train others on bespoke project management software.

  • Soft Skills: A diplomatic and proactive problem-solver with professional communication skills and the ability to prioritise within a fast-paced pipeline.

  • Detail-Oriented: Exceptional organisational skills with a focus on data accuracy and meeting strict deadlines under pressure.
