The Facilities Project Plan & Development team within Real Estate is seeking a Senior Specialist to provide project management support in the planning, development and execution of capital and O&M Facilities programs and projects in accordance with the FFS Master Plan. The role includes coordination with Facilities Management and customer stakeholders; scheduling, preparing project documentation, coordinating filing applications and obtaining required permits; assisting with the procurement of project-related work including working with Construction and Supply Chain to ensure timely processing of requisitions and contract awards.

The Senior Specialist will work closely with Sr. Planning Analysts to track cost and schedule across the FFS portfolio to ensure accurate and timely reporting; assisting to update forecasts; monitoring completion and resolution of any issues that may arise and to stay within approved budgets. In addition, the Senior Specialist will perform contract administrative functions including, but not limited to, maintaining capital project current working estimates, processing accruals, scheduling contractor work required from by the Capital Projects team and processing payments to contractors.

Required Education/Experience- Bachelor's Degree and 3 years of relevant work experience in facilities or

  • Associate's Degree and 4 years of relevant work experience in facilities or
  • High School Diploma/GED and 5 years relevant work experience in facilities

Relevant Work Experience- Adept at using the Internet for communication and research, required.

  • Must demonstrate a positive work ethic in support of the Companys Corporate Values and Mission, required.
  • Must have excellent interpersonal skills to effectively interact with various levels of management, union personnel, internal and external customers as well as vendors and outside agencies, required.
  • Must be well organized, detail-oriented, and flexible to handle multiple assignments with changing priorities, required.
  • Demonstrated ability to accept challenges and use creative thinking to analyze data and recommend solutions, required.
  • Strong strategic leadership and judgment skills and the ability to demonstrate professional demeanor, required.
  • A commitment to customer service, required.
  • Excellent oral and written communication skills, required.
  • Knowledge of and proficiency with computer systems such as Microsoft Office (including Excel, Word, Power Point, TEAMs, and Unifier), required.
  • Experience with the ORACLE business application, preferred.
  • Experience with the PCARD business process, preferred.

Licenses and Certifications- Driver's License Required

Physical Demands- Ability to respond to system emergencies

Additional Physical Demands- The selected candidate will be assigned a System Emergency Assignment (i.e., an emergency response role) and will be expected to work non-business hours during emergencies, which may include nights, weekends, and holidays.

  • Must work at field locations in all weather conditions.
  • Must travel to company locations to work on storm restoration and heat contingencies
  • Must be willing to travel within service territory
  • Must be able to sit or stand to use a keyboard, mouse and computer for entire shift
  • Must be able to walk for extended periods, bends climb and work from elevations (e.g. roofs)
  • Must be able to work off shift hours, as needed.

Core Responsibilities- Provide guidance to the Team of Movers and Project Coordinator Assistant to ensure effective use of time and monitor assignments and provide directives, feedback and mentorship

  • Manage Maximo Ticket for various PPD Functions XM-1/ SHREDDING @ 4IP, Request for Moves by Building Operations.
  • Manage portlets in Maximo and ensure/enter tickets are tracked in PPD Trackers. (include changing over tickets, updating notes and close out of tickets once tasks/jobs are completed).
  • Create truck schedules for furniture/IT equipment deliveries and moves.
  • Manage logistics of furniture orders.
  • Liaison between PPD, Real Estate, Customers, and Facilities teams.
  • Process ORACLE business transactions for vendor-performed work which includes but not limited to processing project accruals and review contractor invoices for accuracy and payment approval.
  • Support capital project initiatives such as portfolio optimization and other Real estate initiatives.
  • Manage and review tickets for moves within 4IP and external requests, converting service requests into work orders.
