The Facility Manager is responsible for ensuring that all CHANEL facilities (Retail & Office) operate to the highest standards of safety, efficiency, sustainability, and brand excellence. This role oversees end-to-end facilities operations, vendor management, capital projects, and workplace well-being, while acting as a trusted partner to Retail Store Design, Boutique/Counter Communities Tech& Infrastructure, H&S and People Experience team.
Key Responsibilities:
1.
Facilities Operations & Asset Management:
- Lead the development and execution of comprehensive facilities management strategies across boutiques and offices.
- Design, implement, and oversee 360° preventive and corrective maintenance programs for all facilities.
- Centralized management of security, cleaning, pest control, repair and amenities
- Plan and conduct regular facility inspections to ensure operational excellence, identifying opportunities for efficiency improvement and innovative back-of-house retail solutions.
- Oversee the care, maintenance, and replacement of specialized art pieces, including material sourcing and on-site works.
- Ensure uninterrupted boutique and office operations by responding swiftly and effectively to ad-hoc or emergency facility issues.
- Manage all facility security systems, ensuring safety, reliability, and compliance.
- Adherence to landlord and government requirements for all sites and ensure transparent documentation and reporting for audit-readiness
2.
Boutique & Office Projects:
- Oversee and lead office expansion, renovation, and retrofit projects; including space planning and workplace experience aligned with “Living@Chanel”
- Support boutique expansion, renovation, and retrofit projects led by Retail Store Design team.
- Ensure all projects are delivered on time, within budget, and in full alignment with CHANEL standards and brand guidelines.
- Coordinate contractors, landlords, and building management offices to ensure smooth project execution.
3.
Vendor & Contractor Management:
- Build and manage strong partnerships with external service providers, including building management and hard/soft service vendors (e.g., HVAC, elevators, landscaping, pest control, cleaning, security).
- Monitor vendor performance against Service Level Agreements (SLAs) and quality standards.
- Negotiate, review, and approve contracts and service agreements, ensuring cost effectiveness and value for CHANEL.
- Track contract expiry dates and proactively initiate re-procurement where required.
- Ensure all contracts, purchase orders, invoices, and payments are accurately processed, posted, and cleared in line with internal controls.
- Continuously review vendor arrangements to ensure optimal service delivery and cost optimization.

Cost & Budget Management:
- Develop, manage, and control the facilities maintenance budget, balancing cost efficiency with premium service standards.
- Track expenditures closely and maintain disciplined budget planning and forecasting.
- Analyze maintenance and energy-related costs to identify savings opportunities without compromising quality or safety.

Health & Safety:
- Ensure all CHANEL facilities fully comply with local building codes, fire safety, occupational health, and safety regulations in collaboration with H&S team
- Partner with building management companies to implement robust preventive maintenance and safety programs.
- Implement initiatives to promote a safe, comfortable, and supportive working environment, including workplace ergonomics, ambience, and amenities.
- Support regular audits, risk assessments, and emergency drills

Energy Conservation & Sustainability:
- Work with the Sustainability team to implement sustainable practices by adopting green building initiatives and eco‑friendly facility solutions wherever feasible (e.g., renewable energy procurement, Energy Management System (EMS) deployment, refrigerant management and reduction of environmental footprint, waste data collection and reporting, and circularity initiatives such as Reduce/Reuse/Recycle)
- Support the execution of Corporate Social Responsibility (CSR) initiatives as defined by the Company.

Employee Well-being & Workplace Experience:
- Partner closely with People Experience to bring employee wellness and workplace experience initiatives to life, acting as a trusted sounding board to ensure initiatives are practical, inclusive, and effectively delivered.
- Proactively identify and implement opportunities to enhance the workplace environment, supporting employee comfort, productivity, well-being, and key experience touchpoints.
- Serve as a key liaison between employees and the business on workplace-related matters, ensuring timely, empathetic, and solution-oriented responses to feedback and concerns
- Ensure clear, consistent, and timely communication on workplace updates, changes, and incidents, in alignment with People Experience and Communications guidelines, particularly during emergency situations.
Qualifications
- Minimum 10 years of progressive experience in facilities management, with responsibility for multi-story commercial buildings; experience within luxury retail, hospitality, or premium corporate environments is strongly preferred.
- Bachelor’s degree in Property Management, Engineering, Facilities Management, or a related discipline is preferred.
- Professional certifications in Facilities Management, Health & Safety, Fire Protection, or related fields are an advantage.
- Strong hands-on experience across IT and audio-visual systems, core building electrical and mechanical systems (E&M), and the maintenance of premium retail or corporate environments to luxury standards.
- In-depth understanding of building infrastructure, systems, and operations, with the ability to translate technical issues into practical solutions.
- Solid experience managing suppliers, contractors, and service providers, with strong awareness of local regulations, work practices, and service culture.
- Excellent problem-solving, analytical, and decision-making skills, with sound judgment in operational and emergency situations.
- Proven capability to manage multiple priorities and high volumes of operational requests
- Proven ability to lead and manage a team, with a focus on developing and mentoring staff
- Proven experience and competencies in project management
- Advanced user of Microsoft Office tools, particularly Excel and Share Point; comfortable working with digital systems and reporting tools.
- Korean Language proficiency is essential, as the role requires effective communication with internal and external stakeholders.
