About the role

Job Summary:

The Moves Lead Coordinator is a vital member of the Move Delivery Team supporting the CBRE Microsoft Account. This role serves as a collaborative point of contact for Microsoft employees, facilitating the scheduling and coordination of moves, and providing exceptional customer service within the Puget Sound campus. This position manages medium-scale move projects, ranging from single employees to thousands, ensuring logistics are coordinated, compliance with team objectives is met, and continuous improvement is driven within the move process.

What You’ll Do:

  • Move Management: Lead and manage medium project scope moves (e.g., >/=1500 employees, individual moves, resets, unassigned seating), ensuring adherence to schedule, budget, and compliance with team and related team objectives.
  • Subject Matter Expertise: Act as the primary subject matter expert for program project tracking, utilization of project tools, and job cost management. Support the implementation and monitoring of complex project administrative practices and policies.
  • Vendor Engagement: Coordinate, schedule, and manage activities with various vendors. Monitor and report on key performance indicators and billing accuracy, ensuring timely closeout for move metric advancement.
  • Project Creation & Management: Oversee the creation of move projects within designated tools, including setting up spreadsheets, presentations, and work order entry. Drive delivery requirements at a leadership level within the project delivery team.
  • Communication Management: Lead the creation and delivery of communications to employees, team administrators, and move partners. Respond to escalated internal and external customer inquiries regarding performance reports and project tracking system data. Serve as the central communication point for the Move team in internal and external syncs (e.g., DFM Sync, Ex report, B34 activity, weekly move updates). Maintain weekly SOP notes and reporting calendars.
  • Team Leadership & Support: Provide leadership to the team, manage delivery expectations, and conduct presentations to team admins on move processes. Contribute to the creation and verification of reports. Support team members, lead by example demonstrating CBRE RISE values, and guide the team in applying best practices. Resolve complex problems and drive consensus for process improvements.
  • Facility Walkthroughs: Conduct walkthroughs of buildings to assess facilities and furniture needs, identifying discrepancies in data and understanding vendor scope (e.g., Suddath).
  • Post-Move Support: Create move maps, floor plans, labels, and nameplates. Operate post-move help centers and assist the project team with project close-out procedures.
  • Email Management: Manage the MS-Move email inbox by replying to inquiries and troubleshooting employee needs, in partnership with the Move Delivery Manager.
  • Customer Service: Deliver exceptional customer service, ensuring positive impact on customer objectives. Independently resolve typical and atypical work area problems, evaluating and selecting solutions from established options.
  • Training & Onboarding: Train new Move Coordinators, administrative assistants, and temporary employees on project policies and administration. Onboard incoming team members and serve as a 'go-to' administrator for project tracking systems. Prepare project status reports and train on governance.
  • Policy & Process Improvement: Assist in the creation of project policies and directives for the operations manual. Support management in implementing and monitoring project practices and administration deliverables. Drive and implement strategies for continuous improvement in operational efficiency, quality, and productivity.
  • Scheduling: Manage move project assignments and ad hoc, ancillary continuous improvement initiatives in partnership with the Move Delivery Manager.
  • Move Delivery Manager Coverage: Provide project and limited program coverage for the Move Delivery Manager, excluding people management responsibilities.

What You’ll Need:

  • High School Diploma or General Education Degree (GED) required.

  • Associate degree (AA/AS) and/or Bachelor’s Degree preferred.

  • Minimum of one (1) year of related experience desired.

  • Composure: Maintains professionalism under pressure, handles stress effectively, and remains calm in challenging situations.

  • Customer Focus: Dedicated to meeting internal and external customer expectations, using feedback for improvement, and building strong relationships.

  • Listening: Practices attentive and active listening, patiently hears others out, and accurately restates opinions even in disagreement.

  • Perseverance: Pursues tasks with energy and drive, seldom gives up before completion, especially when facing resistance or setbacks.

  • Planning: Accurately scopes project length and difficulty, sets objectives, breaks down work, develops schedules, anticipates problems, measures performance, and evaluates results.

  • Ability to apply critical thinking and analytical skills to solve complex problems and make informed decisions.

  • Functional/Technical Skills: Possesses strong functional and technical knowledge relevant to the role, including proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.

  • Technical Learning: Quickly grasps new technical concepts, skills, and knowledge related to industry, company, products, or internet technology.

  • Time Management: Uses time effectively and efficiently, prioritizes important tasks, and accomplishes more in less time.
