We are looking for a proactive Facilities Operations Specialist with an operational mindset to join our Facilities team.
This role involves daily interactions with suppliers and building partners, overseeing key operational functions including maintenance, cleaning, catering, building systems, and onsite vendor coordination.
The ideal candidate is hands-on, service-oriented, and experienced in vendor management and facilities operations, with a passion for creating a smooth and enjoyable workplace experience.
Responsibilities:

Own and manage relationships with external service providers, including cleaning, catering, security, maintenance, AV, and equipment vendors.

Manage service level agreements (SLAs), contracts, schedules, and vendor performance to ensure high-quality and cost-effective service delivery.

Oversee day-to-day operations including access control, deliveries, utilities, waste management, maintenance, and cleaning coordination.

Act as the primary point of contact with building management and landlords to ensure timely responses and effective resolution of site issues.

Monitor and maintain consistent housekeeping and facilities standards across all office areas, including inventory and supplies.

Coordinate catering services and onsite food programs, ensuring quality, appropriate quantities, and dietary compliance.

Support workplace health, safety, and compliance initiatives, including vendor insurance tracking and operational risk escalation.

Manage small-to-medium facilities projects and support larger rollouts through vendor coordination, scheduling, and stakeholder communication.

Track suppliers' spending, assist with budgeting and invoicing, and prepare periodic operational reports on SLAs, incidents, and vendor performance.

Collaborate with internal teams and stakeholders (HR, IT, Workplace Experience, Security, etc.) to ensure smooth daily operations.

Identify opportunities to improve operational processes, streamline workflows, and enhance the overall employee experience.
Requirements:

3-4 years of experience in facilities from large organizations, building operations, vendor management, or a similar operational role (experience in the high-tech industry is an advantage).

Responsibility for maintenance and interaction with the cleaning services provider

Proven experience managing external suppliers and service contracts.

Strong organizational skills and ability to manage multiple operational priorities simultaneously.

Comfortable working directly with building management and external vendors.

Excellent stakeholder and cross-functional communication skills.

A hands-on problem solver with a proactive, solutions-oriented mindset and the ability to perform well under pressure.

Proficiency in English (spoken and written).
Nice to Have:

Experience supporting multiple international offices or remote site operations.

Background in catering/vendor onboarding or facilities roles within tech or high-growth companies.

Familiarity with workplace systems (work order or ticketing tools).

Basic understanding of Health & Safety regulations relevant to office environments.
