Project Management

We are seeking an experienced supply chain professional to join our team in a role dedicated to supporting the Food & Beverage function on the island. This position is focused on managing the end-to-end supply chain for all food and beverage inventory — including demand planning, procurement, logistics coordination, vendor partnerships, quality control, and inventory optimization — to ensure seamless delivery of products that meet our operational needs and service standards. The ideal candidate will have a strong understanding of supply chain principles with specific experience in food and beverage categories, excellent cross-functional collaboration skills, and the ability to work closely with culinary, operations, and finance partners.

ESSENTIAL DUTIES & RESPONSIBILITIES:Supply Chain Coordination & Logistics:

  • Coordinate and book shipments of containers, vehicles, machinery, and other freight to designated destinations.
  • Coordinate weekly local shipments via mailboat and air to Eleuthera and Grand Bahama.
  • Track all local orders and any international orders requested by the Supply Chain Manager.
  • Follow up with local vendors to ensure timely order fulfillment and resolve any supply issues.
  • Coordinate fulfillment of local emergency supply requests to Half Moon Cay, Princess Cays, and Celebration Key.

Procurement & Vendor Management:

  • Process all local purchase orders and international orders as needed by the Supply Chain Manager or team.
  • Request and gather quotes locally for projects related to the destinations.
  • Conduct OFAC checks on new businesses and vendors.
  • Create and process new vendor onboarding and prepare business recommendations as needed.
  • Maintain up-to-date local records and logs related to purchases, shipments, and vendors.
  • Process BSD check disbursements to local vendors if needed.
  • Ensure local invoices are reconciled or processed accurately through the Markview system.

Compliance & Auditing:

  • Support the coordination of internal audits, spot checks, and compliance reviews for Destination Warehouses.

Administrative Support & Reporting

  • Provide administrative support to the Supply Chain Manager, including documentation and vendor communication.
  • Report on supply-related issues and delays to the Supply Chain Manager.
  • Perform other duties as assigned by the Supply Chain Manager.

SKILLS SPECIFICS:

  • Familiarity with local and international purchasing processes in the Bahamas.

EDUCATION & QUALIFICATIONS:

  • Associate’s Degree in Business or equivalent; additional education in Hospitality or a related field is a plus
  • Courses or certifications in logistics coordination, compliance, project management or vendor management are an asset
  • Minimum of 2-4 years of experience in an administrative or coordinator role. Experience working in a cross-functional environment with logistics, operations, and finance teams.

LANGUAGE REQUIREMENTS:

  • Ability to read and write English to understand and interpret written procedures. This includes the ability to give and receive instructions in written and verbal forms and to effectively present information and respond to questions from guests, managers, and co-workers.

PHYSICAL REQUIREMENTS:

  • Ability to work in an outdoor environment as needed.
  • May need to stand for long periods of time.

OTHER REQUIREMENTS:

  • Strong organizational and time-management skills, with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite and familiarity with data entry and reporting tools.
  • Detail orientated with a proactive approach to problem solving.
  • Ability to multi-task and think critically
  • Problem-solving and decision-making abilities
  • Strong planning and coordination skills, especially in handling multiple priorities under tight deadlines.
  • May be requested to work a shift schedule while at any of the destinations.
