Executive Assistant , Workplace Health and Safety (WHS)
About the role
Do you thrive in people-focused environments? The Amazon Workplace Health and Safety organization is seeking an experienced Executive Assistant to join a mission-driven, fast-paced, core-business organization. This role supports the office of the Global Vice President of Workplace Health and Safety, partnering with the Senior Executive Assistant to ensure day-to-day business continuity across an 11,000+ member global organization. The role is based in Bellevue, WA.
As the Second EA, you will play a critical role in ensuring seamless, high-quality executive support. You will own operational and administrative workflows, from space management and routine calendar coordination to team-building events. You will insist on the highest standards. Possess strong attention to detail, the ability to anticipate needs, and can effectively prioritize tasks while operating with discretion. This role offers significant growth opportunities along with direct partnership and exposure to the senior leadership team of Amazon’s global safety organization.
- Key job responsibilities
- Manage routine calendar coordination including rescheduling, attendee updates, and intake of new meeting requests in partnership with the Lead EA.
- Own space management end to end: attend GREF meetings, manage space assignment requests, and conduct monthly audits to keep leadership informed of team seating status and needs.
- Plan and coordinate team-building events and develop scalable processes to share with hub offices.
- Earn Trust by building strong working relationships with safety leadership, operations partners, HR, legal, and cross-functional stakeholders and act as a trusted partner to other Executive Assistants across the Workplace Health and Safety organization and broader Amazon.
- Demonstrate Bias for Action by proactively identifying and implementing process improvements to make the team faster and more efficient.
- Coordinate domestic and international travel arrangements and manage expense reporting as needed.
- Serve as a fully cross-trained backup to the Lead EA, ensuring uninterrupted VP-level support during PTO, travel or high-volume periods.
A day in the life
Your day starts by syncing with the Lead EA to review the calendar, confirm priorities, and divide the day’s incoming requests. By mid-morning, you’re managing space assignment tickets, responding to routine scheduling requests, and pulling together materials for any upcoming meeting. Afternoons bring the unexpected: shifted meetings, last-minute attendee changes, and rapid reprioritization. Some days you are coordinating a team-building event; other days you are stepping in to cover high-stakes meeting prep when the Lead EA is focused on critical deliverables. By the end of the day, the VP office ran more smoothly because two EAs operated as one team.
