FHS Business Administration Specialist
Job Description:
To serve as the subject matter expert (SME) for FHS Additional Work (AW) processes and commercial administration, driving continuous improvements and process optimisations across relevant functions, ensuring high-quality dossier justifi cation, increase the competency of the FHS Business Administration Management (BAM) team and contribute to achieve FHS AW objectives.

A) Process Improvement and Prioritization

Process Defi nition and Optimisation: relevant functions to defi ne, champion, and implement Additional Work (AW) processes to ensure all AW cases are identifi ed and recharged as per FHS contracts.and to enhance effi ciency, quality, and speed of commercial administration and gap resolution

System and Tool Enhancement: Lead and work with relevant functions to specify and implement improvements or automation in the tools used for AW administration, monitoring, reporting, and coordination.

Defi ne Priorities: Establish criteria and a system for prioritizing AW dossier handling and resolution efforts based on strategic importance (e.g., commercial value, customer impact, top recurring items), and actively monitor team performance against these priorities.

B) Expert Consultation and Strategic Support

Top Item Analysis: Lead the detailed analysis and validation of the most signifi cant and recurring AW-related items providing expert recommendations for long-term resolution.

High-Value Dossier Support: Provide hands-on expert support in the justifi cation and commercial negotiation/settlement of highly complex or strategically critical AW claims with FHS customers and/or suppliers.

Internal Coordination Expertise: Facilitate and streamline coordination of complex AW-related in-service issues with all relevant FHS functions, including Engineering, Repair Managers, FHS Component Operations Manager (FCO), FHS Customer Program Manager (CPM), and Supply Chain actors, to accelerate technical closure.

Ad-hoc CPM Support: Provide high-level, ad-hoc support to the FHS Customer Program Manager (CPM) on critical AW matters.

C) Competency and Knowledge Building

Develop Training Programs: Design and deliver comprehensive training modules and workshops for the Business Administration Management (BAM) team, focusing on the end-to-end AW cycle, including technical root cause understanding, commercial justifi cation methodologies, negotiation tactics, and compliance with FHS contract terms.

Mentor and Coach: Act as a mentor for Business Administration Management (BAM) team members, providing expert guidance on complex, high-value, or precedent-setting AW dossiers to ensure robust consolidation, presentation, and justifi cation.

Capitalize Experience: Formalize and maintain a centralized knowledge base of negotiated AW cases, lessons learned, and best practices, and actively share this experience across FHS Operational teams.

Other duties reasonably determined from time to time by the Company

D) Operations Drumbeating and Reporting
-
Formalise and maintain an overview of day-to-day AW administration with clear and agreed metrics
-
Manage and resolve day-to-day AW administration issues including timely escalations for major issues
-
Provide regular AW administration KPI and fi nancial KPI reporting
-
E) Subcontractor Management
-
Support FHS Customer Program Manager in managing the subcontracted AW team based in FHS KL including but not limited to leave validation, monthly attendance validation, workpackage evolutions, contract renewals and portfolio allocations.

F) Compliance & Other Duties
-
Ensure compliance with company safety rules, procurement SOPs, and regulatory requirements at all times.
