ABB Emergency Lighting offers a comprehensive range of emergency lighting products, including exit signs and emergency luminaires. These products are designed to provide illumination during power outages, ensuring safe evacuation and visibility. ABB's emergency lighting products include the Emergi-Lite®, Vanlien®, and Kaufel® lines, known for their performance and reliability in commercial and harsh environments.
Position Overview
This Position reports to: Procurement Manager
This role is key to ensuring smooth site operations by managing the procurement of indirect goods and services such as health & safety materials, maintenance supplies, and office consumables while coordinating with contractors and overseeing contract administration. In addition to procurement responsibilities, this role provides comprehensive administrative support across all site functions, including HR, Sales, and general business operations, to maintain efficient workflows. The position also serves as the first point of contact for visitors and employees, delivering professional reception services and supporting day-to-day office activities.

Your Role and Responsibilities
Indirect Purchasing
- Manage end-to-end purchasing for indirect goods (H&S materials, maintenance supplies, facility consumables, operational items)
- Source and assess ad hoc procurement needs
- Raise POs, track deliveries, and maintain accurate purchasing records
- Monitor and replenish office/factory consumables
Contract & Subcontractor Coordination
- Support administration, renewal, and compliance of service contracts
- Coordinate subcontractor visits, confirm completed work, and resolve issues
- Maintain current contractor records, certifications, and H&S documentation
Health & Safety & Maintenance Support
- Ensure availability of safety equipment, PPE, and training materials
- Coordinate maintenance purchasing and service visits to support safe operations
- Provide documentation for internal audits
Cross-Functional Support
- Coordinate employee recognition activities and internal communications
- Prepare and maintain New Starter Welcome Packs; oversee merchandise stock
- Administer the Tensor system for access control, absences, holidays, and payroll support
- Maintain accurate and up-to-date HR noticeboards
Front of House Support
- Welcome visitors, manage reception duties, and arrange travel and lunch orders
- Handle meeting room bookings, setup, and refreshments; support visitor sign-in
- Organise internal social events and assist with site communications
- Provide general office administration and maintain office supply levels
Skills & Qualifications
Essential
- Experience in purchasing, or supply chain administration (indirect procurement preferred), combined with a strong background in general business administration and customer service
- Strong organisational skills with excellent attention to detail and ability to manage multiple priorities
- Good understanding of contract administration and supplier management
- Proficiency with ERP/purchasing systems and Microsoft Office tools
- Excellent communication skills and ability to work collaboratively across teams
- Ability to handle confidential and sensitive data with integrity and discretion
Desirable
- Experience supporting health & safety, maintenance, or facilities functions
- Knowledge of HR workflows
- Familiarity with contractor compliance and H&S documentation requirements
