CoreAI Product is seeking a Business Support professional to provide dedicated support for two Vice Presidents as well as team support to a few leaders.
In this role, you will support day-to-day business operations by coordinating schedules, helping manage administrative processes, and partnering with others across the organization to keep work moving forward. You will be comfortable handling multiple requests, following established processes, learning new tools, and communicating clearly while working with a high level of professionalism and discretion.

- Responsibilities- Provide calendar support for two leaders, including scheduling meetings across complex stakeholders and making updates for busy calendars.
- Support expense and purchasing processes by reviewing submissions for completeness and routing for approval, in alignment with policy.
- Partner with other business support teams and cross-functional partners (e.g., HR, Finance, Staffing, and Facilities) to coordinate routine team needs.
- Support headcount and onboarding activities by tracking open roles, assisting with requisitions, helping onboard new hires, and maintaining team distribution lists and basic records in relevant tools.
- Coordinate team logistics, including new hire setup, equipment and supplies requests, and basic workspace support in partnership with Facilities.
- Assist with asset and equipment tracking (e.g., ordering, transfers, and refreshes) and help maintain accurate records.
- Support budget and spend tracking by monitoring routine expenses, flagging potential issues, and partnering with Finance and approvers as needed.
- Help plan and coordinate team meetings, morale moments, and events (virtual and in-person), including logistics and communications.
- Work effectively with stakeholders across time zones with awareness of cultural and communication differences.
Qualifications:
Required Qualifications:
- 2+ years Administrative, Business Support, and/or customer service experience.
Other Requirements:
Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include but are not limited to the following specialized security screenings:
- Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.
Additional/Preferred Qualifications:
- 3+ years of administrative, business support, or customer service experience, including scheduling meetings/events and providing general administrative support.
- Demonstrated ability to handle sensitive and confidential information with professionalism and discretion.
- Working knowledge of Microsoft tools and internal systems used for business operations (e.g., Outlook, Teams, Share Point, and expense or procurement tools).
- Demonstrated written and verbal communication skills, attention to detail, and the ability to prioritize and follow through on requests.
- Ability to build positive working relationships and collaborate effectively with a diverse group of stakeholders.
- Willingness to learn new tools and processes and apply feedback to improve ways of working.
- Ability to lift and move standard office equipment (i.e., computers and peripherals) up to 40 lbs.
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.10 - $43.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $35.72 - $51.11 per hour.
