Senior Accounts Payable Operations Lead

at MARS

Hybrid working (up to 50%)

Location: Warsaw (possible other location Egypt)

The Senior AP Operations Lead is responsible for overseeing and driving operational excellence across regional and global Invoice-to-Pay processes. This role manages relationships with both internal stakeholders and external partners (including outsourcing providers), ensuring accuracy, compliance, and efficiency in all Invoice to Pay operations. The position is pivotal in supporting transformation initiatives, process standardization, and the deployment of new tools and technologies, while fostering a culture of continuous improvement.

What will be your key responsibilities?

  • Foster a culture of compliance, process excellence, and continuous improvement within the team and across the organization.

  • Oversee end-to-end I2P operations, including those executed by the Hub Team (outsourcing partner), ensuring accuracy, compliance, and efficiency.

  • Serve as the primary escalation point for business stakeholders, addressing process-related queries and issue resolution.

  • Govern operations through SLAs, KPIs, and a three-tiered governance structure, ensuring robust process controls, risk management, and adherence to internal and external compliance requirements.

  • Drive the I2P standardization agenda, streamlining processes and migrating to new technologies across regions.

  • Lead and support regional and global projects, including system implementations (e.g., VIM, SAP S/4HANA), process improvements, and digital transformation initiatives.

  • Collaborate with reporting and analytics teams to design and monitor operational metrics and dashboards, providing actionable insights to leadership.

  • Partner with business segments, upstream stakeholders, and cross-functional teams to ensure seamless process integration and alignment with business objectives.

  • Act as the face of the I2P process for the business, maintaining strong relationships with both internal and external partners.

  • Oversee and support the use of SAP, VIM, Ariba, Service Now, and other relevant platforms in I2P operations.

  • Proactively identify, investigate, and resolve process issues, ensuring timely communication and resolution.

What are we looking for?

  • University degree in Finance, Accounting, Business, or related fields.

  • English language proficiency.

  • Professional certification (e.g., CPA, CMA, Six Sigma) is a plus.

  • Minimum of 8 years of proven Finance Operations experience with a focus on Accounts Payable, preferably in a global or regional shared services environment.

  • Strong knowledge of SAP, VIM, Ariba, Service Now, and experience with S/4HANA implementations.

  • Experience managing outsourced operations and acting as a liaison between business and service providers.

  • Expertise in process improvement, project management, and change management.

  • Demonstrated ability to make sound decisions in complex and/or ambiguous business environments.

  • Demonstrated ability to work well under pressure, handle multiple projects simultaneously, and meet deadlines.

  • Excellent communication, stakeholder management, and problem-solving skills.

  • Strong understanding of internal controls, compliance, and risk management in finance operations.

  • Ability to work effectively in a matrixed, multicultural, and cross-functional environment.

  • Experience with global process standardization and transformation projects.

  • Familiarity with automation, digital tools, and analytics in finance operations.

  • Understanding of Lean/Six Sigma principles and their application in finance operations.
