The Lead Administrative Assistant is responsible for providing high-level administrative support to a group of three Vice Presidents and their teams within the Supply Chain division. This role reports directly to the Team Lead, Admin Assistant, and serves as a key point of coordination and communication for the leadership team.

Main responsibilities

  • Deliver comprehensive administrative support to 3–4 Vice Presidents, managing diverse needs and priorities.

  • Coordinate complex travel arrangements, manage calendars, and handle daily meeting logistics for assigned VPs.

  • Prepare, review, and submit expense reports accurately and in a timely manner.

  • Organize meetings with internal and external stakeholders across various international time zones.

  • Demonstrate flexibility and responsiveness to requests and meetings that may occur outside standard business hours.

  • Create, edit, and distribute reports, presentations, and internal communications as required by the team.

  • Plan, coordinate, and execute departmental events and meetings, ensuring all logistics are managed seamlessly.

  • Process and track invoices, ensuring correct coding and timely approval in accordance with company policies.

  • Provide back-up assistance to other admin team members as needed, fostering strong team collaboration.

  • Manage departmental supplies, equipment, and resources to support efficient operations.

  • Assist with additional administrative projects and assignments as directed by the Team Leader, Executive Assistant.

  • Minimum of 2 years of experience in an administrative support role, ideally supporting senior leadership.

  • Associate’s degree or equivalent combination of education and experience.

  • Exceptional verbal and written communication skills. § Strong organizational abilities and a commitment to outstanding customer service.

  • Demonstrated accountability, independence, and keen attention to detail. § Proven basic project management skills.

  • Proficiency in Microsoft Office Suite, Concur, and Ariba platforms.

  • Ability to exercise sound judgment and handle confidential information with discretion.

  • Proactive, strategic thinker who can adapt to changing priorities and anticipate the needs of the team.
