Role Summary
The Facility Specialist – Warehouse Operations serves as the central facilitator for all warehouse administrative, facilities, and operational support activities. This role ensures smooth day-to-day warehouse functionality through effective coordination, compliance tracking, vendor management, cost control, and adherence to Danaher Business System (DBS), Safety, and 5S standards. The position acts as a key interface between warehouse operations and cross-functional stakeholders including HR, Finance, Legal, Quality, IT, and external service providers.

Key Responsibilities Warehouse Administration & Compliance

Maintain a master tracking system for warehouse licenses, certifications, contracts, and permits, ensuring timely renewals and full regulatory compliance.

Track all data loggers and related calibration certificates; coordinate calibration cycles, replacements, and new purchases as required.

Coordinate with Quality, Legal, HR, Finance, and external authorities for documentation, approvals, renewals, and compliance requirements.

Facilities & Utilities Management

Monitor and manage warehouse utilities (electricity, water, internet, and related services), ensuring uninterrupted service and timely payments.

Act as custodian for warehouse infrastructure, including access control systems, keys, CCTV, IT room, locker rooms, tools, and facility hardware.

Serve as the primary point of contact for warehouse-related vendors, maintenance contractors, service providers, and suppliers.

Procurement, Cost Control & Financial Coordination

Create operational cost forecasts and payment schedules for office supplies, packing materials, utilities, maintenance, and facility-related services.

Raise Purchase Requisitions (PRs) and Purchase Orders (POs) in the system in line with Danaher procurement policies.

Collect, validate, and submit vendor invoices to Finance for timely and accurate payments.

Monitor contractor activities and supplier deliveries, perform job completion sign-offs, Goods Receipt (GR) confirmations, and ensure services meet agreed standards.

People Support & Engagement

Facilitate warehouse staff administrative support related to overtime, holidays, training sessions, meetings, and formal team-building activities.

Support coordination of internal audits, inspections, trainings, and warehouse events in collaboration with HR and Operations.

Safety, 5S & Continuous Improvement

Promote, implement, and sustain 5S standards across all warehouse areas, identifying deviations and driving corrective and preventive actions.

Ensure safety, housekeeping, and DBS standards are consistently followed across all operational streams.

Actively participate in continuous improvement initiatives, audits, and DBS-driven countermeasure implementation.
Key Competencies & Skills

Strong administrative and coordination skills within warehouse or facility environments

High attention to detail with strong compliance and documentation control

Experience working cross-functionally with Finance, HR, Quality, Legal, and external vendors

Working knowledge of procurement, invoicing, and cost forecasting processes

Understanding of Safety, 5S, and continuous improvement practices

Proficient in MS Office and ERP systems (SAP or equivalent preferred)
