Job Description Summary

This role is responsible for managing, organizing, and maintaining all project documentation, including drawings, contracts, submittals, and correspondence. The role involves establishing and maintaining document control systems, ensuring version control, tracking approvals, and coordinating with project teams, consultants, and contractors. Responsibilities include document distribution, audit preparation, compliance monitoring, and implementing efficient workflows to ensure accurate, up-to-date records that support seamless project execution and effective information management.

About the Role:

  • Manage and maintain all project documentation, including drawings, specifications, contracts, submittals, and correspondence.
  • Coordinate with project teams, consultants, contractors, and clients for collection, distribution, and approvals.
  • Assist in the preparation, formatting, and tracking of contracts and work orders, including clause management and incorporation of amendments when project scope or terms change.
  • Support BOQ preparation, document management for cost and quantity records, and maintain change or variation documentation as required.
  • Maintain document registers and trackers for drawings, submittals, RFIs, and approvals.
  • Ensure compliance with project, organizational, and statutory document control standards.
  • Support reporting, audits, and client reviews by providing accurate and up-to-date documentation.
  • Implement and improve document control workflows for efficiency and accuracy.

About You:

  • Graduate in any discipline
  • 3–5 years of experience in Document Control for commercial, residential, or base-build projects
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experienced with Share Point, Aconex, Project Wise, or other document management systems
  • Strong knowledge of document management workflows, version control, and digital archiving
  • Excellent written and verbal communication skills
  • Familiarity with project documentation standards and compliance requirements
