The People Experience Executiveis a key member of the People Experience (PE) team, responsible for ensuring a positive and engaging workplace environment. The primary focus of this role is to foster strong employee relations, drive employee engagement initiatives and coordinate events. Provide critical operational and administrative support to deliver smooth, efficient HR/PE services, employee engagement activities, and day‑to‑day people operations.

This position demands a high level of professionalism, organisational ability, and interpersonal skills, as well as the capability to manage multiple priorities in a dynamic environment.

Key Responsibilities:

The PE Executive role is responsible for supporting the full range of People & Organisation (P&O) management and operational aspects of the employee life cycle and services. The position will take a lead role in supporting People Experience (PE) team and coordinate all administrative and compliance requirements across the employee lifecycle by partnering with other cross-function and Centre of Excellence (CoE) teams. The PE Executive is a key support to the PE team and will strive for continuous improvement that aims to create efficiencies and deliver a high standard of employee experience.

P&O Operations and Administration:

  • Manage day-to-day administrative tasks for the PE department, ensuring efficient and effective operations.
  • Maintain and update employee records, both physical and digital, ensuring data integrity and confidentiality.
  • Assist with onboarding processes, including preparing welcome materials, conducting orientation sessions, and coordinating with other departments to ensure a smooth new hire experience.
  • Support offboarding activities such as conducting exit interviews, collecting company property, and ensuring compliance with termination procedures.
  • Manage P&O-related vendor partnerships, including the management of commercial agreements, payment processing, and ongoing relationship maintenance to ensure service quality and alignment with organisational standards.
  • Process and maintain P&O-related documentation in the HR system, such as employment contracts, amendments, policy acknowledgments, and benefits enrollments.
  • Assist with benefits administration, including enrollments, changes, and responding to employee inquiries.
  • Help ensure compliance with local employment laws and regulations, as well as company policies.
  • Coordinate with IT, Finance, and other departments as needed to support P&O operations.
  • Contribute to process improvement initiatives to enhance P&O service delivery and efficiency.

People Engagement & Events:

  • Plan, coordinate, and execute employee engagement initiatives and programs that promote a positive and inclusive culture, such as wellness activities, recognition programs, team-building events, and company celebrations.
  • Manage logistics for employee events, including scheduling, budgeting, vendor management, communications, and on-site support.
  • Act as a liaison between employees and P&O team to solicit feedback, ideas, and suggestions for improving engagement.
  • Assist in developing creative content and communications to enhance employee participation and connection.
  • Support the communication of company news, updates, and achievements through newsletters, intranet posts, or other appropriate channels.
  • Recognise and celebrate employee milestones, achievements, and service anniversaries.
  • Track and evaluate the effectiveness of engagement programs, providing regular reports and recommendations to P&O leadership.

Employee Relations & Retail Support:

  • Serve as a first point of contact for Retail employee inquiries, concerns, and conflicts, providing guidance and support while maintaining confidentiality and professional discretion.
  • Assist PE Partners in investigating and resolving employee relations issues, such as complaints, workplace conflicts, performance concerns, and disciplinary matters, in accordance with company policies and legal requirements.
  • Work closely with Retail management and employees to cultivate an inclusive, respectful, and supportive workplace culture.
  • Support the implementation of policies and procedures related to employee conduct, attendance, and performance management.
  • Collaborate with P&O leadership to gather feedback and recommend improvements to employee relations programs, policies, and processes.
  • Maintain accurate and up-to-date documentation of employee relations cases and interventions.
  • Participate in the roll-out of training programs related to retail workplace respect, anti-harassment, conflict resolution, health & safety and diversity & inclusion.
  • Monitor retail workplace climate and morale, identifying trends or areas of concern and proactively addressing them with P&O leadership.

Data, Reporting & Systems

  • Maintain HRIS data accuracy, support reporting cycles.
  • Assist with engagement survey admin, dashboard, action plan tracking.
  • Generate regular and ad hoc HR reports, analysing trends and supplying relevant data to P&O leadership.

Project & Others:

  • Support and participate in P&O and other cross-functional projects or assignments.
  • Managing PE-related projects, including conducting research and analysing data.
  • Participate in Company’s committee groups, such as Health & Safety, Social Commitment & Sustainability.

Role Specifications:

Academic / Professional Qualifications:

  • Bachelor’s Degree in Human Resources, Business Administration, or related discipline.
  • Minimum 3 to 5/+ years of relevant human resources or administrative support role, preferably in employee relations or engagement, preferably in a fast-paced, matrixed environment.
  • Previous experience supporting employee engagement or event planning initiatives.
  • Familiarity with employment laws, HR best practices, and workplace regulations.
  • Proficiency in English and Traditional Chinese (written and verbal).
  • Experience in retail, customer service, or hospitality is an advantage.

  • Proficiency with HR System Workday, Microsoft Office Suite, and basic reporting tools.
