About the Role:

As a Mail Services Coordinator, you will organize, oversee, and actively participate in all mailroom operations, including the delivery, sorting, routing, and distribution of mail. You will establish delivery and pickup schedules, develop procedures for allocating postage costs, and provide guidance and work direction to support staff.

What You’ll Do:

  • Coordinate and execute daily mailroom operations, including delivery, sorting, routing, and distribution of all incoming and outgoing mail.
  • Provide guidance to internal customers regarding U.S. Postal Service regulations and mailing procedures.
  • Operate and maintain postage meter machines; track and allocate postage costs accurately.
  • Ensure full compliance with postal regulations, organizational policies, and security standards.
  • Prepare and process special, bulk, and high‑volume mailings efficiently.
  • Maintain adequate inventory of mailroom supplies and ensure equipment is serviced and functioning properly.
  • Respond to inquiries, troubleshoot issues, and resolve mail‑related concerns promptly and professionally.
  • Receive, register, and distribute incoming product orders, packages, and letters across campus or organizational locations.
  • Organize, clean, and maintain the stockroom; catalog and track items regularly to ensure order and accuracy.
  • Schedule and coordinate large shipments, ensuring proper logistics, storage capacity, and staffing coverage for incoming goods.
  • Prepare and maintain shipping and receiving reports; track all goods shipped and received for management review.
  • Address and resolve issues related to shipping, receiving, and inventory discrepancies.
  • Ensure adherence to environmental, safety, and compliance standards throughout mailroom and warehouse operations.
  • Troubleshoot and resolve shipping problems and customer concerns, escalating as needed.
  • Package, move, and store merchandise in warehouse or storage areas; operate forklifts, pallet jacks, or lifting equipment when required.
  • Handle all incoming and outgoing warehouse packages, ensuring accurate labeling, weighing, and documentation.
  • Track and maintain accurate inventory records; inspect goods for damage; and distribute items to appropriate departments.

What You’ll Need:

  • High school diploma or equivalent.
  • 1–2 years of office, warehouse, or mailroom experience.
  • Working knowledge of postal regulations and mailing procedures.
  • Ability to lift and move boxes weighing 25–50 lbs.
  • Proficient computer skills, including basic office software.
  • Strong organizational skills with excellent attention to detail.
  • Ability to work effectively under pressure and manage multiple tasks.
  • Clear communication skills and strong reading/writing abilities.
  • Ability to stand for long periods and walk throughout campus multiple times per day.
