Amazon Advertising is on the lookout for an exceptional Executive Assistant who is eager to work on a fast-paced and growing team, within a constantly evolving industry. This role will support two directors with the possibility of a third, and will require an individual with flexibility, strong business acumen, superior attention to detail, the desire to learn, and a sense of humor.
This position requires attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests across global teams and working closely with other Executive Assistants throughout the organization. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. The successful candidate will possess the ability to complete complex tasks quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the whole picture.
We are looking for someone motivated, with a proven history of high performance and the ability to operate under pressure. The ideal candidate is confident, enthusiastic, resourceful, tech-savvy, forward-thinking, self-motivated, and a creative problem solver. They constantly seek out areas of improvement and work to find solutions. They are not content with the status quo and aim to invent and simplify processes and programs. A relentless bias for action and effective communication at all levels is a must. This person will have a high level of integrity and discretion in handling confidential information and professionalism in dealing with senior executives.
This position will work closely with a team of Executive Assistants to facilitate key team activities and projects. The ability to work independently and collaboratively with a strong sense of ownership, bias for action, and customer obsession is highly valued.
Key job responsibilities
-Managing fluid calendar requests, meeting invites and conference room logistics, and floor access
-Working across time zones
-Managing large event logistics, catering, accommodations, and materials (e.g., business writing courses, All Hands events, etc.)
-Planning space for the team and facilitating office moves
-Improving morale, helping recognize outstanding efforts, having fun at work, and encouraging others to do the same
-Attending key meetings, tracking and helping drive completion of key deliverables, and following up on outstanding items
-Driving team activities (e.g., staff meeting agendas, weekly business reviews, All Hands events, snacks and supply ordering, team-building events, launch events and recognition posters)
-Updating team organizational charts
-Managing workflows that require approvals
-Planning travel and accommodating changes
-Processing expense reports

About the team
With a specific focus on both of our customers (end consumers and advertisers), the Campaign and Creative Services (CCS) organization’s mission is to drive advertiser success. Specifically, CCS is responsible for defining and managing customer-obsessed ad policies across the entire advertising business, generating bar-raising creatives, and ensuring timely and flawless campaign execution and support. CCS plays an important role in educating and guiding advertisers toward the best standard or custom solution to meet or exceed their objectives, including assistance navigating the Amazon consumer ecosystem.

Basic Qualifications

  • 3+ years of senior level leadership support, or 1+ years of Amazon experience
  • High school or equivalent diploma
  • Experience with Microsoft Office products and applications
  • Experience with executive level calendar management

Preferred Qualifications

  • Experience in a fast-paced, high-tech company
  • Experience managing multiple calendars

The base salary range for this position is listed below. Your Amazon package will include sign-on payments and restricted stock units (RSUs). Final compensation will be determined based on factors including experience, qualifications, and location. Amazon also offers comprehensive benefits including health insurance (medical, dental, vision, prescription, Basic Life & AD&D insurance and option for Supplemental life plans, EAP, Mental Health Support, Medical Advice Line, Flexible Spending Accounts, Adoption and Surrogacy Reimbursement coverage), 401(k) matching, paid time off, and parental leave.
