DESCRIPTION

Join our organization as a Fleet Coordinator and ensure the smooth operation of our company car fleet. In this position, you'll be responsible for the operational management and administration of Thermo Fisher Scientific’s company car fleet in Hungary. This role ensures efficient fleet operations, regulatory compliance, cost control, and a high level of service for company car drivers, in alignment with Thermo Fisher Scientific’s policies and values. You’ll also coordinate with vendors, oversee maintenance activities, and implement continuous improvement initiatives.

KEY RESPONSIBILITIES

  • Coordinate end-to-end company car lifecycle management, including vehicle ordering, allocation, handover, replacement, and return
  • Administer company car policies in line with Thermo Fisher Scientific standards and Hungarian legal requirements
  • Act as the primary point of contact for employees regarding company car-related topics (vehicle usage, policy questions, incidents)
  • Liaise with leasing companies, dealerships, insurance providers, and service partners in Hungary
  • Ensure vehicles are properly registered, insured, inspected, and compliant with Hungarian traffic and tax regulations
  • Coordinate maintenance, repairs, tire changes, and inspections to minimize vehicle downtime
  • Manage accident handling, damage reporting, insurance claims, and related documentation
  • Maintain accurate fleet data, contracts, and records in fleet management systems and internal tools
  • Monitor fleet-related costs (leasing, fuel, maintenance, taxes), and support budgeting and reporting activities
  • Prepare regular fleet reports for HR, Finance, Payroll, and Procurement teams
  • Support sustainability and compliance initiatives, including fuel efficiency, CO₂ reporting
  • Ensure adherence to Thermo Fisher Scientific’s ethics, compliance, EHS, and data privacy requirements

REQUIREMENTS

  • Experience working with leasing companies, or within the automotive industry is an advantage
  • Valid category ”B” driver's license and at least 5 years of driving experience required
  • Willingness to drive cars to different locations within Budapest is a must
  • Familiarity with Hungarian vehicle regulations, taxation, and insurance processes is an advantage
  • Physical ability to perform vehicle inspections
  • Proficiency with Microsoft Office is required
  • Experience managing vendor relationships and coordinating maintenance
  • Strong organizational skills
  • Excellent written and verbal communication abilities both in English and Hungarian
  • Problem-solving mindset with ability to work independently
  • Available for emergency response and occasional off-hours support, as required
