Job Description:

Role - Project Administrator

Location – Noida, Pune

As Project Administration, you will execute processes for Customer Order Fulfilment including Order Management activities, demand management, shopping cart creation and goods receipts. You will report to Team Lead – Delivery Administration and have a hybrid working schedule.

Your Responsibilities:

  • Implement processes in compliance with established SOPs and guidelines. Perform several administrative/Operational tasks for assigned team(s) and function(s) globally.

  • Gather and summarize enabling data to implement assigned tasks.

  • Responsible for providing administrative support on activities related to a customer order; from receipt through closure including procurement of goods & services from specified suppliers that are moderate to high in complexity under minimal supervision and in accordance with all relevant policies & procedures

  • Work with required regional and domestic partners to ensure compliance and smooth processing of the activities/processes assigned.

  • Demonstrates accountability for completing work assignments given in the form of process objectives & goals; meet commitments and deadlines.

  • Maintain the confidentiality of sensitive and proprietary technical, financial and commercial information.

  • Present availability on parts if relevant / when requested, working in collaboration with Planning Team through business system interface.

  • Maintain the project/contract/proposals/quotation status in Business systems throughout its lifecycle including creation, material / service supply requests, receipts, invoicing, completion and closure.

  • Extract data (from business systems, SAP / IFS / others) and publish necessary reports required by the various regional stakeholders as per the established cadence and guidelines.

  • Contribute in Root cause analysis for any deviation highlighted by the regional stakeholders, required documentation of the said deviations and responding to audit processes as and when required.

  • Use the official tools available like conference calls and emails for frequent interaction with peers/ customers & regional stakeholders on discussion related to processes, contracts, feedback, presentations and other updates on a regular basis.

  • Coordinate with multiple teams across organisation for required updates, material delivery/availability, receipts, invoicing, completion and closure of project / contracts.

The Essentials

You Will Have:

  • Contribute to continuous improvement projects and reporting/documenting enhancements to improve productivity.

  • Enthusiastic to work and adapt in a dynamic, fast paced and challenging environment.

  • Manage difficult situations in a professional and commercial manner

  • Flexible and someone who holds self-accountable for completing own tasks/responsibilities, but also contributes to others 'Efforts', as required

  • Work closely with stakeholders for the optimization of processes, identify process improvement opportunities and areas for continuous improvement.

  • Strong ability to clearly articulate and convey the understanding to peers and customers.

  • Act as a Point of Contact for acknowledging and addressing internal customers queries related to tasks assigned

  • Bachelor's degree in science/ commerce/ business administration or equivalent.

  • Minimum of 4+ years of relevant experience in Business Operations and order Management.

  • Have exposure to Global Work style, engagement with clients while sitting at remote locations.

  • Willing to work in flexible business shifts / global time zones including NA/LA time zone to lead business stakeholder connect.

  • Lean Six Sigma certifications are a plus.
